Piedmont Virginia Community College (PVCC) is a nonresidential two-year institution of higher education that serves Central Virginia – principally residents of the City of Charlottesville and the counties of Albemarle, Buckingham, Fluvanna, Greene, Louisa and Nelson. Our scenic campus is located in Albemarle County, Virginia. We are one of 23 community colleges in Virginia that comprise the Virginia Community College System (VCCS).

Purpose: Piedmont Virginia Community College (PVCC) seeks a detail-oriented, energetic, collaborative Assistant Director of Financial Aid with outstanding interpersonal skills and experience in student financial aid for a busy office committed to the principles of access and equality, providing excellent customer service, and student support.

General Duties and Responsibilities: The Assistant Director of Financial Aid is a member of the management team and assists with the overall administration of the entire financial aid program. Along with the Director, the Assistant Director provides training, direction, and supervision to the financial aid staff. The Assistant Director will have extensive knowledge of federal, state and college policies and procedures and will assist the Director in development of policies and procedures to ensure compliance with state, federal, and institutional regulations. The Assistant Director resolves problems and issues affecting the department and recommends measures to improve the effectiveness and efficiency of the department. Some evening and weekend hours are required.

Specific responsibilities and functions may include, but are not limited to:
  • Managing and tracking data, preparing reports, and assisting with any internal or external audits.
  • Monitor financial aid awards to ensure program integrity and compliance.
  • Keep up to date and abreast of changes to pertinent legislation and regulations concerning student financial aid.
  • Collaborate in the development, implementation, and maintenance of institutional and department policies and procedures based on federal and state regulations, guidelines, and professional literature to minimize exposure to risks.
  • Review and revise standard operating policies and procedures as needed and on an annual basis.
  • Oversee and complete all operations to ensure proper disbursement of federal, state, and scholarship funds.
  • Calculate Return of Title IV funds.
  • Work with financial aid advisors to manage student caseload and assisting students with eligibility, verification, and appeals.
  • Serve as backup support to the Financial Aid Office staff and to the Director.
  • Provide financial aid presentations and workshops to current and prospective students.
  • Collaborate with Finance and Administrative Services to reconcile financial aid accounts and disbursed financial aid funds.
  • Ensure students and families are provided with accurate and complete information.
  • Provide action plans, resources, and training for the performance and professional development of the financial team.
  • Develop working relationships with internal and external partners, college staff, and faculty ensuring respect, teamwork, and support.
  • Manage compliant escalations.
  • Maintain confidentiality and comply with Financial Aid Administrator’s professional code of conduct.
  • Perform other projects as needed.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.



KSA's/Required Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • Working knowledge of Title IV regulations and experience in a higher education environment.
  • Strong attention to detail.
  • Strong organizational and math skills.
  • Demonstrated ability to analyze information.
  • Able to communicate effectively, orally and in writing, with a diverse population of students, families, faculty, and administrators.
  • Able to travel on occasion to off campus events.
  • Must be able to work flexible hours to include monthly evenings and weekends.
  • Demonstrated proficiency in Microsoft Office applications.
  • Public speaking and presentations skills.
  • Ability to work under pressure while managing multiple workflows with varying deadlines.


Preferred Qualifications
  • Minimum of 3 years’ experience in student financial aid, knowledge of Veteran’s benefits processing and regulations, and leading a team.
  • Experience with PeopleSoft or similar student information system.
  • Bilingual
  • IT technical experience
