Job Title: Administrative Support

Salary Range: $38,500 - $42,500 per year

Position Summary

This position will support the US Department of Energy Office of Scientific and Technical Information (DOE OSTI) vision to ensure long-term preservation of and access to DOE scientific and technical information through support of their applications and development team.


Position-Specific Duties

· Maintain and monitor application team activities, project schedules, work hours, and daily tasks in support of project leads

· Maintain weekly, monthly, and long range project calendars to ensure timely communication and coordination for events and ensuring that follow-up actions are achieved

· Track tasks assigned to the application staff

· Ensure awareness of and adherence to project deadlines

· Provide daily updates to customers on tasks and projects, as requested

· Organize, attend, and participate in stakeholder meetings

· Prepare necessary presentation materials for meetings

· Capture and distribute meeting minutes/actions to project team members

· Document and track important actions and decisions from meetings

· Ensure all documentation is maintained appropriately for each project

· Ensure stakeholder views are managed towards the best solution

· Create a project management calendar for fulfilling each goal and objective

· Create daily, weekly and monthly reports as needed

· Other administrative duties as required


Education, Training, Experience

· 2 years of relevant administrative experience


Knowledge, Skills, Abilities

· Able to communicate professionally orally and in writing, with strong editing skills

· Adept at scheduling and organization

· Deadline-driven and detail-oriented

· Ability to communicate with multiple stakeholders in a timely manner

· Ability to work independently and as part of a team

· Ability to prioritize workload with competing deadlines

· Strong aptitude for learning new technologies

· Working knowledge of Microsoft Office

· Knowledge of application development helpful but not required


Physical Abilities

· Ability to sit for long periods.

· Ability to view computer monitor for long periods.


Ability to provide proof of US Citizenship on your first day of employment to obtain a DOE

HSPD-12 Badge in accordance with the terms of the contract. Department of Energy OSTI's

policy direction requires all employees employed on this contract to be citizens of

the United States.
