Summary of Job Duties:
Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching & preparing special reports, & developing, revising, & recommending administrative policies & procedures as directed by supervisor.

Duties:
Updates calendar with itineraries and scheduled events. Assists county staff with arrangements for upcoming meetings and the preparation of newsletters, meeting announcements, handouts, or other documents that may be needed. Maintains report, correspondence, and publication files for the County Extension Office.
Prepares and submits the necessary paperwork and on-line entry for monthly reports such as travel, leave/time, and financial reports for county staff. Enters requisitions in database for invoice payments, expense reimbursements, and provides required documentation to expedite payments and reimbursements.
Maintains inventory control of computers and equipment for the county office. Orders and maintains sufficient stock of office supplies for county staff.
Assists agents in reporting for all program areas of Agriculture, Family & Consumer Sciences, 4-H, and Community Development. Responsible for gathering data and creating various documents for end of year reporting and reviews such as civil rights, 4-H and EH clubs, contact records, county financial reports, equipment inventory and repairs, and evaluations. Retrieves soil sample diagnostic reports for clientele.
County financial accounts must be maintained and balanced in Quicken and reports sent monthly and annually to State Office. Copies of the reports and information must be maintained in the county office files and be retrievable for reviews or audits.
Performs administrative duties for the Polk County Extension Office. Serves as receptionist and main phone line operator to clientele. Responds to inquiries and requests for information when possible or directs callers and visitors to the appropriate staff member. Processes incoming and outgoing mail. Answers routine correspondence. Maintains and updates as needed county mailing lists. Responsible for displaying required EEO/nondiscrimination information in the county Extension office.

Qualifications:
Minimum Qualifications
The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed.

Knowledge, Skills & Abilities
Knowledge of the principles & practices of mathematics & statistics. Knowledge of research & analysis techniques & methods. Knowledge of work-related subject area. Knowledge of computers & software applications. Ability to prepare, present, & review oral & written information & reports. Ability to research & analyze related work program information. Ability to develop, recommend, interpret, & apply policies & procedures. Ability to analyze financial records & prepare reports. Ability to plan, organize, & direct the work of others.
