JOB ANNOUNCEMENT – ADMINISTRATIVE SPECIALIST

Public Health Advocates (PHAdvocates) brings a health and equity lens to some of the most important issues of our day. We have two decades of successful state and local campaign experience focusing on prevention and challenging the social, political, and economic systems that perpetuate racial, economic and health disparities. Over the past 20 years, PHAdvocates has helped 200 California cities enact more than 600 local policies. At the state level, we led the campaigns to get soda and junk food out of public schools, fund elementary school physical education, require that restaurants put calorie information on their menus, and fund statewide diabetes prevention. Our current campaigns address critical racial justice issues including childhood trauma, police reform, homelessness, equitable response to COVID, climate change, and addressing racism as a public health issue.

The First Response Transformation Campaign (FRTC) is a statewide effort led by Public Health Advocates designed to support local jurisdictions in their efforts to reimagine first response. To achieve this, we provide technical assistance to advocates and local jurisdictions in the development of policies and practices to develop equitable first-response delivery for communities that have been underserved, criminalized, and traumatized by our traditional first-response system. We must work to ensure that communities needs are matched with services – prevention, intervention, and crisis response - that are appropriate in scale and scope. Our aim is to connect with California cities that also recognize this challenge and want to take active steps to improve their public safety and first-response delivery systems.

Public Health Advocates is seeking a dynamic Administrative Specialist to support our First Response Transformation work. The Administrative Specialist will serve as an assistant to the FRTC Program Manager and the overall campaign. This position is responsible for managing FRTC’s project management software (Asana), coordinating events (virtual and in-person), tracking and facilitating sub-contracts, managing calendars, and providing administrative support to FRTC staff and Equity Advisory Group.  The ideal candidate is detail-oriented, has strong experience using project management databases, is experienced at planning events and meetings, is adept at scheduling multiple calendars, works well independently, is comfortable with technology, and is a collaborative thinker.

Responsibilities

  • Ensure effective project management. For example, assure Asana project management software is organized with relevant information for the team to perform their duties efficiently, including creating projects, assigning tasks, updating calendars, etc.
  • Maintain FRTC database of grant deliverables and outcomes to support the grant evaluation process
  • Take meeting minutes and track action items for FRTC weekly planning meetings, coalition meetings, and learning community meetings
  • Support scheduling for team members, including internal team meetings and external meetings with Equity Advisory Group (EAG), city leadership, community members, and partners
  • Manage the FRTC Workplan and its objectives timeline
  • Provide administrative support for EAG members. Manage each of the EAG member’s contracts with the project.
  • Organize and assemble documents and presentation materials for FRTC
  • Provide administrative support for organization-wide functions as needed
  • Perform other duties as assigned

Qualifications

  • HS Diploma or equivalent
  • 3+ years of administrative experience
  • Prior non-profit experience a plus
  • Strong organizational skills
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Working knowledge of Microsoft Office Suite, online databases & uploading web content

Position details:

  • This is a part-time (30 hours p/wk) non-exempt position
  • Eligible for full health benefits available to spouses, domestic partners, and dependents
  • $21 to $27 per hour based on relevant experience
  • Position available immediately
