Description:

Guided by the Ohio Unemployment Compensation Review Commission (UCRC) Agency mission, vision, and values, we are looking for a dedicated service oriented administrative professional to assume the duties and responsibilities of an Administrative Professional 1.

This position shall be filled in accordance with the provision of the OCSEA, Collective Bargaining Agreement. UCRC bargaining unit members have selection rights before non-bargaining unit members. Job Duties:

Receive all incoming mail (USPS and Internal), scanned documents, faxes, and media. Look up case information, accurately and timely sort mail and assign mail by using established UCRC naming convention, scan/send to appropriate UCRC staff and/or attach to case file in the system. Work with both internal and external customers on documentation received. Monitor incoming electronic faxes and email documentation throughout the day.

Respond to inquiries/requests for electronic copies of hearings and or UCRC files. If hard copy of file is requested, prints, and prepares to be sent to vendor for quick copy. Redact confidential information for the electronic file before preparing the file to be sent out.

Prepare and release electronic dictation of hearing for appeals filed in Common Pleas court on a CD. Collect money and posts charges for requests for a file and/or a CD copy of the hearing. Correspond via email or letter to interested parties on their request for information.

Other duties may include researching issues and offering solutions to various members of the UCRC leadership team. May also be asked to download files for attorney hearing officers. Handle sensitive inquiries, channel those inquiries to appropriate parties for response.


Qualifications


1 year training or 1 year experience in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 months training or 6 months experience in relevant technical terminology.

Knowledge of English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures*; general office practices & procedures; agency-specific office practices & procedures*.


Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer & office machines (e.g., transcribing equipment, calculators).


Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions & provide appropriate information or referral.

For the first week of training, the person selected for the position will be required to come into the office at the Rhodes Tower, 30 East Broad Street, 31st floor. The remaining training may be conducted remotely using TEAMS, screen sharing and job aids.

The final candidate selected for the position will be required to undergo a criminal

background check. An individual assessment of an applicant's prior criminal convictions will be made before excluding an applicant from consideration.

The final applicant selected for this position will be required to submit to urinalysis prior to an appointment to test for illegal drug use. The State will decline to extend a final offer of employment to any applicant with a verified positive test result. Also, an applicant with a positive test result will not be considered for any position with the State of Ohio for a period of one year. NOT APPLICABLE TO CURRENT STATE EMPLOYEES.
