Starting in 2022, 988 became the nationwide, easy-to-remember 3-digit dialing code for Americans in crisis to connect with suicide prevention and mental health counselors. Samaritans is one of the organizations answering those calls. We can listen and support even more people who reach out for help.


ABOUT THE POSITION:

The Administrative Program Coordinator (APC) position is a full-time position reporting directly to the Chief Clinical Officer (CCO) and working closely with the supporting the CCO and the division leaders of the programs. The APC role provides primarily project coordination services and comprehensive support to the CCO and Program Directors. This role presents an opportunity for a compassionate and empathetic individual to utilize detail-orientation and multi-tasking skills to help ensure efficient operation of the services we offer, leading to greater success of our mission. The ability to connect with the mission and values of Samaritans is vital.

The APC needs to be highly productive while managing multiple responsibilities and projects, with the ability to make informed, timely, and effective business decisions. The APC will be efficient, reliable, trustworthy, self-motivated, and self-directed; must have a high level of integrity, and excellent communication skills both internally and externally. Occasional evening and weekend hours might be required to support business needs. An exceptional customer-service approach is critical to success in this position, helping to create and reflect the values of collaboration, sensitivity, and respect.


REPORTS TO:
Chief Clinical Officer


KEY RESPONSIBILITIES:

  • Assist CCO in daily administrative tasks enabling efficiency and effectiveness of work
  • Provide sophisticated calendar management and prioritize inquiries and requests for CCO while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Complete a broad variety of administrative tasks that facilitate the CCO's ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports
  • Update Samaritans programming information in online directories as requested
  • Work closely with the CCO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CCO updated. Anticipate CCO's needs in advance of meetings, conferences, etc.
  • Prepare PowerPoint Presentations for meetings and presentations
  • Coordinate, track, and support activities as needed in collaboration with Senior Leadership Team members
  • Work on special projects as assigned by the CCO
  • Utilize and update Salesforce for relevant data entry and information
  • Act as support to and liaison between CCO and external partners
  • Create and maintain comprehensive project documentation
  • Use and continually develop leadership skills


SKILLS & EXPERIENCE:

  • Minimum 5 years' experience working with projects in a fast-paced environment
  • Minimum 5 years' experience supporting a division leader
  • Proven ability to solve problems creatively, efficiently, and effectively takes initiative, anticipates needs, and works well with minimal supervision
  • Ability to work with sensitive and confidential information
  • Must be able to think critically and display good, sound judgment
  • Must possess strong written and oral communication skills and excellent analytical skills
  • Ability to work independently and collaboratively to maximize teamwork across the organization
  • Strong planning, time management and organization skills; maintains attention to details large and small
  • Strong familiarity with project management software tools, methodologies, and best practices
  • Proficient with MS Office, including Word, Excel, PowerPoint, Outlook, Salesforce, and project management software


STARTING SALARY & BENEFITS:

  • Minimum starting salary is $50,000 and will be set based on experience and skill set

  • Samaritans' employees must be vaccinated against COVID-19 or obtain an approved medical or religious exemption. An offer is contingent upon proof that the candidate is fully vaccinated or qualifies for an exemption. All employees are working a hybrid schedule with an average of 2 days per week in the office, after a period of onboarding for new hires.

**Out of state applicants will be required to relocate to Massachusetts within six months of employment and also work the same hybrid schedule as all employees.
