We are hiring! Atkins is seeking an Sr Administrative Coordinator for our expanding support to state agencies and communities in the U.S. This role can be in Austin, Dallas or Houston, TX. This position is also open in locations where we have a local office.

In this role you will provide administrative support to the C&II Central Sector responsible for a regional P&L including to the Sector Manager, division managers, project directors, project managers and operations coordinators. You will work closely with these individuals to add efficiency and organization resulting in streamlined operations.

Plays proactive role in ensuring that business development, project management, and administrative goals and deadlines are met

This is a hybrid position that requires to be on-site at least 2 days a week.

How will you contribute to the team?

  • Business Development: Check client LinkedIn and websites for industry days, networking events. Event/conference preparation support. Coordinating conference approvals and sponsorships. Coordinating meetings between Atkins and clients with awareness of proposals underway, potential Conflict of Interests. Tracking pursuits and opportunities in our client relationship management software tool.
  • Team Management: Developing and refining new staff onboarding plans. Scheduling meetings.
  • Legal: Coordination with legal department and project managers on review of contracts documents.
  • Contracting: Processing approvals on contracts and necessary documentation along with Notarization.
  • Project Setup: Support project managers in setup of projects in Atkins systems.
  • Project Controls: Develop project control Excel spreadsheets and track weekly project charges. Coordinate with project managers on utilization of project budgets. Scheduling monthly project review meetings.
  • Travel support: Booking travel and processing expense reports.
  • Administrative support as needed in business processes and project execution.

What will you contribute?

  • Bachelor's degree in Business Administration, plus ten years' experience. Without a degree, requires fifteen years' experience in progressively responsible administrative work.
  • Proven interpersonal and organizational skills; knowledge of business administration practices and principles; quick learner; project financial skills; MS Office proficiency (Word, Excel, PowerPoint), web research skills; and personal computer proficiency.
  • Notary (preferable, not required).
  • Knowledge of the consulting engineering industry helpful.
  • Ability to deal effectively and harmoniously with people at all levels of the organization.
