Wiss, Janney, Elstner Associates, Inc. (WJE) is looking for an* Administrative Associate to support our Washington, D.C.* office, located in Falls Church, Virginia.
Administrative staff at WJE are encouraged to take on responsibility and seek challenges in the position. A successful person in this role will demonstrate strong organizational skills with exceptional attention to detail, and a strong ability to adapt to changing priorities and project demands from multiple staff members, all while maintaining superior interpersonal skills. While many of the duties of this role will be clerical in nature, some of the demands include high-level administrative projects, requiring initiative, independent thinking, and the ability to synthesize complex concepts clearly and accurately.

Responsibilities

  • Support technical staff utilizing MS Office, and other computer program expertise in order to complete work product
  • Collaborate with team members to prepare, edit, proofread, and assemble incoming and outgoing correspondence and documents adhering to the firm's template standards; documents will include reports, specifications, presentations, RFPs/RFQs, and marketing support materials
  • Organize internal meetings, webinars, and conference calls, and coordinates outside activities, events, and meals
  • Monitor timesheet/expense report submittals as needed
  • Support project managers (PMs) with accounting, including running various reports, timely submission of draft invoices, and past due invoices of projects in the unit
  • Support the team, as necessary, with a variety of other administrative tasks including, but not limited to, processing incoming/outgoing mail, assisting with copying, filing, binding, ordering office supplies, greeting visitors and answering incoming calls, and directing client inquiries as appropriate

Qualifications

  • Three or more years of related administrative support experience
  • Bachelor’s degree in English, communications, marketing, accounting, or business preferred
  • Intermediate or advanced proficiency in Microsoft Office Suite, Teams, and Webex, as well as a willingness to learn other software packages (including digital image software and other databases)
  • Excellent editing and proofreading abilities with strong verbal and written communication skills
  • Willingness to learn and creatively solve problems while employing strong listening skills and high attention to detail
  • Self-starter, with demonstrated capacity to handle multiple needs, organize workload, prioritize tasks, and adapt to change while presenting a professional demeanor and a high-energy client focus

Physical Requirements:
The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. This position requires visual acuity, listening ability, and reading and writing. Individuals must have the dexterity to be able to operate office equipment such as a computer, printer, fax, copier, telephone, voice mail system, and other office equipment. The position requires the ability to remain for extended periods at a workstation, as well as the ability to lift 25 pounds.
Annual starting base salary (gross): $41,900 - $65,300. Actual salaries will vary and will be based on several factors including consideration for a candidate’s qualifications, skills, competencies, and proficiency for the role. Base salary is one component of our total compensation package for employees.
