Department: Chicopee’s Contributory Retirement System

Employment Status Non-Exempt; Full-Time

Salary: Grade A01, Step 1Starting at $15.32 per hour

SUMMARY

The City of Chicopee’s Contributory Retirement System is hiring an Administrative Assistant who will assist in the administration of the day-to-day operations of the Chicopee Contributory Retirement System. This individual would work under the supervision of the Retirement Board and the Executive Director.

SOME ESSENTIAL DUTIES INCLUDE

  • Performs all secretarial and record-keeping work necessary to discharge the duties of the office; and all other related work as required.
  • Works under the general direction of the Executive Director and the Assistant Director following Board rules, regulations, and policies.
  • Inform members of their benefits and rights under M.G.L. Chapter 32 and Public Employee Retirement Administration Commission.
  • Answers the telephone and assists in processing informational requests; prepares office memorandums and correspondence as necessary.
  • Process new members: responsible for the receipt of birth certificates and DD214's when employees become members of the Retirement System.
  • Calculates makeup payments for creditable service in another system or service in our system; requests transfer of funds from other systems when required.
  • Responsible for researching members' past payroll histories when requested to provide them with information necessary for purchasing creditable service with the Retirement System and sends proper correspondence relaying this information.
  • Responsible for all Elections - organizes, mails appropriate information to all members and retirees, oversees the actual election, posts the results, and notifies the necessary individuals with the results.
  • Types correspondence whenever necessary through "Word".
  • Assists in all special projects as required such as mailing member annual statements, affidavits and special mailings for members and retirees.
  • Needs to be ready and willing to perform any related and essential duties necessary to assist others in the office.

QUALIFICATIONS

To be minimally qualified for this position, one must meet the following criteria:

  • High School Diploma or Equivalent
  • Must possess very strong accounting skills, problem solving skills, and excellent customer service.
  • Ability to prioritize work assignments, possess strong organizational and interpersonal skills, and exercise independent judgment and when to refer to the Director.
  • A knowledge of M.G.L. Chapter 32 along with PERAC regulations and PTG computer software is desirable.

SCHEDULE & COMPENSATION

This is a full-time, 40-hour work week position, with the hours of 8:00 AM – 5:00 PM, Monday - Friday.

This role is classified as Grade A01, Step 1 with a minimum starting pay of $15.32 per hour, with periodic step and pay increases upon continuous completion of employment with the City of Chicopee.
