Administrative Assistant III - West Linn High School


Administrative Assistant for Registrar. Candidates bilingual in Spanish preferred.


This is an 8 hour/day, 10 month position under the Classified Bargaining Unit. The start date is as soon as possible.

DEFINITION

Performs all computer-related functions relative to the front office and other tasks as assigned under the direction of the Assistant Principals and Principal. Maintains student progress, behavior, and health folders for each student; posts record of student achievement on transcripts; checks accuracy of GPA and class rank lists; provides transcripts and other records required for admission to other schools and colleges; request student records for new enrollments, checks these records for completeness, and reports grades to teachers; responds to requests for information about student progress from parents, students, and other schools; prepares letters and memoranda from rough drafts or oral instructions.


DISTINGUISHING CHARACTERISTICS

Employees at this level work under the general supervision of an administrator with responsibilities of a high school assistant principal and serves as an information liaison among the administrator, teachers, other district personnel, and the general public. This position is distinguished from the Secretary IV position because this position does not require the coordination of the work of other clerical employees in the same office nor is the employee required to exercise the same level of independent judgment as employees of higher classification.


DESIRABLE QUALIFICATIONS

Knowledge of:

  • Business English, spelling, punctuation, and mathematics;
  • Current office practices, procedures, keyboarding, and equipment.
  • Rules, regulations, procedures, and functions of the district;
  • Office management principles and ability to apply this knowledge to work problems.

Ability to:

  • Read, write, and follow oral and written instructions with little supervision;
  • Type with speed and accuracy;
  • Keep moderately complicated fiscal records, ledgers, and control accounts;
  • Work independently on difficult clerical tasks;
  • Effectively communicate with students, the public, and other employees.
  • Establish and maintain harmonious relationships with students, fellow employees, and the general public;
  • Maintain confidentiality in all phases of work, i.e. records, meetings, etc.

Experience:

Two years of general clerical experience.


Education:

High school diploma or equivalent as required by Oregon Administrative Rules, Oregon Department of Education.
