POSITION DESCRIPTION

The person hired for this position will be supporting our Albany New York office located in Ballston Lake on contracts the office currently managers for the US Army Corp of Engineers Huntsville and Kansas City Districts, US Environmental Protection Agency, US Air Force, Department of Defense and Department of Energy. Projects involve environmental investigation and remediation, including design, implementation, and performance monitoring to reach site closure. This position requires in-office attendance.

Responsibilities/Duties

WHAT YOU'LL BE DOING

The person hired for this role will support our current administrative assistant and be responsible for a variety of administrative duties including but not limited to:

  • Responsible for general office tasks such as: answering the phone, maintaining and ordering office supplies, processing daily mail, answering questions from employees/vendors, and making travel or meeting arrangements.
  • Prepare and track purchase order requisitions.
  • Process and track invoices for multiple projects.
  • Assist with managing report and planning documents production schedules.
  • Format reports and other written documents in MS Word according to HGL style guidelines and produce project documents in both hard copy and digital formats.
  • Create, update, and manage multiple spreadsheets in MS Excel .
  • Assist with the preparation and submittal of daily, weekly, monthly, quarterly, semi-annual, and annual reports for multiple projects.

Report production requirements multiple reports being prepared simultaneously, advanced word processing skills, formatting documents in MS Word , digital conversion to Adobe Systems Portable Document Format (PDF), CD creation, and file uploads to SharePoint.

Some tasks of this position will fall under the Service Contract Labor Standards Act.

Required Skills

WHAT YOU NEED TO BE SUCCESSFUL

The ideal candidate will need the following as a foundation for success in this role:

  • Minimum of HS diploma or GED.
  • Intermediate skill levels in use of word processing and spreadsheet programs in the Microsoft Office suite (MS Word and MS Excel ) as well as Adobe Systems Portable Document Format (PDF).
  • Intermediate skill level in use of MS Outlook , including email, calendar sharing, and meeting scheduling and invitations.
  • Intermediate skill level in use of file sharing systems such as MS SharePoint or similar platform.
  • Excellent interpersonal skills, including effective verbal and written communication with all levels of technical and management staff as well as vendors.
  • Organized and detail oriented with the ability to multi-task and work as a team member.
  • Proficient in using standard office equipment and machines.
  • Able to work extra hours under unique circumstances to meet firm deadlines.

Preferred Skills

WHAT YOU NEED TO STAND OUT

  • 0-1 Years of Experience.
  • Ability to read, understand and perform assignments within prescribed guidelines.
  • Knowledge of personal computer operations, and basic word process and spreadsheet applications.
  • Good time management skills.
