This key position is chiefly responsible for providing administrative and payroll support to the General Manager and other key management officials, performing specific payroll administration & office support tasks, and for providing basic customer service functionality. Must also provide the general public with information and greet all visitors to the administrative office.

Responsibilities:
This position reports to the General Manager.

This positions primarily supports our payroll administration and various reporting functions for a 100+ employee facility.

Key responsibilities include payroll administration, generating revenue and sick-leave reports, cash-handling, customer service, tracking and updating time accruals (sick days, vacation, floating holidays), entering employee shift schedules, and other duties as assigned. General office duties such as filing, mailing, ordering supplies, etc. also required.

This position is responsible for all aspects of general office management including performance of basic and advanced secretarial duties such as answering telephone calls, preparing correspondence/other documents, maintaining office files, managing the ADP and VDS employee timekeeping system, preparing statistical reports, supervising mail collection and distribution, and assisting with receptionist duties when needed.

Responsible for all aspects of general office management including monitoring and ordering kitchen and coffee supplies, office supplies, etc.
Qualifications:
Education/Experience:

Minimum high school diploma required. Some college preferred. At least 2+ years of experience working in a professional, fast-paced office environment as an administrative assistant, payroll clerk, HR assistant, or office manager.

Skills/Knowledge/Abilities:

  • Payroll time entry and processing experience is highly desired. ADP Enterprise and/or VDS experience a huge plus.

  • Ability to collect and interpret information in verbal and written form to accurately compile daily, weekly, and monthly reports.

  • Excellent phone and in-person customer service skills a must.

  • Ability to learn new tasks quickly, multi-task, and work with limited oversight is required.

  • Microsoft software skills including Outlook, Word, and Excel is a must. Ability to learn new software quickly and on the fly also required.

Other duties:

This position will require some general office work including routine data entry and organization of records. Individual will be capable of producing raw data and generating summary reporting as required. Individual must be willing to perform other duties as needed. Some light lifting may be necessary. Job requires moderate telephone use.

Environment:

100% of this work is performed onsite in a professional office setting that is well lighted, climate controlled, dust and smoke free. Building and work areas are fully ADA accessible.


Work Schedule:

This position must be available to work a business office schedule, generally 8 am to 5 pm. Lunch and rest breaks will be scheduled in accordance with MS law and/or during convenient times. Position is full time and works an eight (8) hour shift, Monday through Friday. Occasional overtime or work outside these days/hours may be required.
