Title: Administrative Assistant

Status: Non-Exempt

Terms: Permanent Full-Time

Reports To: Director of Executive Administration & Contracts

Job Summary: The Administrative Support Assistant is responsible for providing administrative support to the daily operations of the Executive Administration Department. He/she will assist the Director of Executive Administration & Contracts and the CEO in administration.

Principle Duties and Responsibilities: Include those listed below and other duties as assigned by the Chief Executive Officer and Director of Executive Administration & Contracts.

  • Organize, create, and maintain correspondences, ensuring completion, accuracy, and confidentiality.
  • Become familiar with agency Policies and Procedures as it relates to daily operations.
  • Assist in maintaining the Executive Team calendar.
  • Assist Director of Executive Administration & Contracts in scheduling, organizing meetings, and training.
  • Assist with preparing the board of directors pre-meeting packets.
  • Perform customer service functions by answering incoming calls, emails, and postal mail for the executive office.
  • Ability to work closely with all administrative departments, vendors, contractors and consultants.
  • Process mail, make photocopies, fax documents, and perform other clerical functions.
  • Ensure office copiers are functioning correctly and schedule maintenance in collaboration with IT Consultant and/or department

General Knowledge/Skill Requirements:

  • Ability to work independently.
  • Strong initiative in preparing special projects and day-to-day operations.
  • Exceptionally proven organizational and time management skills.
  • Solid knowledge of Microsoft Office and navigating skills
  • Strong communication skills (both written and verbal)
  • Attentive to detail; understanding the importance of accuracy.
  • Maintain vital confidentiality of agency documentation and other matters.
  • Team player, reliable, trustworthy, flexible, and adaptable to change.
  • Sound judgment and decision-making skills
  • Foster working relationships with staff/co-workers.

Working Experience Requirements: One to three years of experience in administrative support, experience dealing with diverse people from varying backgrounds.

Education Requirements: An associate degree in Business Administration, or related degree and one to three years of related non-profit experience.
