Job Description
  • Create purchase requisitions and purchase orders with appropriate coding, quantities, and costs. Ensures vendors are available in the system with current documentation.
  • Receive orders in purchase order system and verifies items and services are consistent with purchase order.
  • Understand the contract for billing and invoicing in order to classify expenses correctly.
  • Review department expense reports in Concur, and ensure proper purchasing policies are followed.
  • Generate Expense Reports as requested by Director.
  • Communicate effectively with vendors, contractors and staff.
  • Perform clerical and administrative duties including typing documents, correspondence and reports for their assigned department. Composes and initiates routine correspondence and memoranda. Edits and proofs documents for grammar, spelling, and clarity of expression, organization, and conformance to company specifications.
  • Enter data from various sources to maintain and update various databases and spreadsheets.
  • Ensure data integrity by verifying input and calculations.
  • Create, runs and distributes standard and customized periodic reports, to communicate follow-up requirements and to summarize reports, etc.
  • Answer basic questions and provide information when known. Take accurate phone and verbal messages and ensures that messages are delivered in a timely manner.
  • Maintain organized computer and/or hard copy files for easy identification and retrieval.
  • Maintain inventory of office supplies. Prepares purchase requests for above items and coordinates purchasing.
  • Occasionally schedule & maintain calendar of meetings & travel itineraries. Occasionally coordinate associated arrangements. Occasionally plan, coordinate and arrange on-site and offsite Conferences, meetings and special events. Ensures accurate and timely communication to involved parties.
  • Maintain a clean, safe, and functional office environment for our site, troubleshooting issues with office equipment and arranging necessary repairs. Coordinate issues under the scope of the Real Estate Operations group with their representative.
  • Handle logistics for meetings, including booking rooms, catering, and ensuring IT equipment works as expected, including getting logged into Teams or other streaming service as required for each logistically-managed meeting.
  • Partner with IT support to resolve hardware, software, and other technical issues that affect our staff.
  • Create and maintain departmental documents when needed and not supported by company systems (E.g. this might comprise Org Charts if sharedspace.sharepoint.com didn’t provide them visually enough, or Team Membership charts if https://fwtools.rochester.hgst.com/art_tools/hdd_arts.php were not working.) Current examples include site PDLs for email distribution and resource link summaries needed by staff.
  • Collaborate with other Executive Assistants, internal departments, and third-party vendors respective to Director’s needs.

Responsibilities may include the coordination of workload, scheduling meetings, managing calendars, and performing general clerical duties per Director’s needs.

  • ASIC Development Engineering (Flash Business) [Duncan Halstead] (including Shipping and PR creation with Spencer Krist, on Duncan’s behalf)
  • ASIC Development Engineering (HDD Business) [Alan Longo]
  • Systems Design Engineering (Flash Business) [Mike James]

If workload appears likely to exceed available time, this shall be brought to managing director’s attention for prioritization.


Qualifications


Experience in planning (meetings, site events), Purchasing, Expense documentation, Building maintenance coordination, contractor coordination (electrical, plumbing, vending, etc). Must have held a similar position in Western Digital previously and affirmatively exhibited skills in support of the Job Description.
