Position Summary

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

The Administrative Assistance will make sure the office is running at full capacity by organizing, cleaning, and moving boxes, files, furniture, and the entire lunch room.

The Association is currently expanding offices and the Administrative Assistance will assist with the transition by engaging with vendors to negotiate contracts and maintain deadlines.

Essential Functions

  • Answer and transfers phone calls, screening when necessary.
  • Welcome and directs visitors and clients.
  • Maintain filing systems as assigned.
  • Retrieve information as requested from records, email, minutes, and other related documents; preparewritten summaries of data when needed.
  • Coordinate mail and deliveries, pick up/drop off.
  • Respond to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Prepare agendas and schedules for meetings.
  • Purchase and maintain office supplies, and office meals including beverages.
  • Record and distribute minutes or other records for meetings.
  • Maintain office supplies and coordinates maintenance of office equipment.
  • Maintain accurate records and is required to always remain compliant with all laws and company policies.

Position Requirements

  • Ability to communicate with vendors and clients effectively and professionally.
  • Ability to master reporting functions of all systems used by the organization.
  • Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind.
  • Excellent analytical skills and financial prowess.
  • Good organizational and time-management skills.
  • Strong team player with solid communication skills.
  • High levels of integrity and ability to handle confidential information.

Required Education and Experience

  • High School Diploma or GED.
  • Minimum of 1 years’ experience working as an administrative assistant.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Basic knowledge and experience with MS Office (Outlook, Excel, Office 365, Teams, and Word).

Preferred Education and Experience

  • Advanced knowledge and experience with MS Office (Outlook, Excel, Office 365, Teams, and Word).
  • Additional Requirements
  • Must possess a valid Washington State driver’s License.

Job Class: Non-Exempt Hourly
