Position Summary

The Administrative Assistant performs highly responsible work in assisting and providing support to the Director. The Administrative Assistant will assist the Director in duties such as scheduling, record keeping, budgeting, and communicating with other staff and faculty. The Administrative Assistant must have strong attention to detail and interpersonal skills, and must be able to comply with all applicable College and office policies and procedures.

Essential Duties and Responsibilities

  • Perform secretarial and reception functions in the Director’s office, including greeting visitors and answering phones, managing the schedule for the Director’s office, and organizing and maintaining files and records within the office.
  • Performs office management functions within the Director’s office, including communicating relevant information to and from the office, assisting the Director in preparing reports and budgets, and assisting with payroll and other management functions.
  • Assisting with Bid paperwork preparation, maintaining insurance records, and helping various departments with questions.
  • In order to perform these essential functions, the Administrative Assistant must be present at work. Therefore, attendance is an essential job function.

Qualifications

  • Minimum of Associate’s degree with 15 semester hours in related field. Accounting or Finance preferred.
  • Five years’ experience.
  • Must have good intrapersonal skills, a strong work ethic, reading and math skills, and the ability to communicate effectively verbally and in writing.
  • Must possess general secretarial skills and knowledge of standard office equipment and software.
  • Must have the ability to multi-task, prioritize among tasks, and use critical thinking skills to solve problems.

Letter(s) must come from current and/or former employers, verifying employment experience to meet minimum required qualifications. Letter(s) must include employment dates and job title and be on official letterhead with an authorized personnel signature.
  • Separate transcripts from each college attended (photocopies will suffice until employed)
