Overview

The GBS Group, an engineering and technical consulting firm, is seeking an Administrative Assistant at our Philadelphia, PA location. The GBS Group designs and delivers high technology services and solutions to most advanced naval and maritime ships, as well as to special purpose platforms and assets. Our office is located at the Philadelphia Navy Yard, which is a dynamic urban development, offering the Philadelphia region a unique and centrally- located waterfront business campus committed to smart energy innovation and sustainability. The Navy Yard has over 20 acres of parks, one mile of waterfront trail and is located less than one-half mile from the Wells Fargo Center, Lincoln Financial Field, Citizens Bank Park, as well as the retail/entertainment center Xfinity Live!


Requirements

  • This position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll.
  • The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
  • Support performing reviews, documentation, preparing reports, performing data collection and statistical analysis, perform financial support including man-hours/time related data, analysis and tracking.
  • Timekeeping – Weekly entering of all branch personnel time into ERP, routing leave/overtime requests.
  • Weekly Status Reports & Metrics - submitting status and metrics from all branch personnel to the Division on a weekly basis along with tracking.
  • Travel - reviewing travel orders for all branch personnel in the travel system DTS and tracking travel claims.
  • Records Management Assistance: Maintain Records Management compliance with the following but not limited to other documents that would be kept in accordance to records management guidance; SISO sheets; Correspondence, Memos, Delivery Letters, Telework Request/Agreements.
  • PS/LRVA/OH Error Reports – correcting timekeeping/NWA errors which show on these reports for all branch personnel.
  • Training – Tracking mandatory training for the branch, ESAMS, DAWIA & CSWF
  • Data Calls – Support answering data calls as they come in from both the Division, Department and/or command.
  • Public Release Approvals - work with all branch employees on routing for approvals.
  • Must have experience with Enterprise Resource Planning (ERP).
  • Review and Update technical correspondence to ensure compliance with the Navy Correspondence Manual.

Qualification

Candidates for this position must possess the following professional experience and qualifications:

  • Minimum Education: High school/vocational school degree or GED certificate.
  • Minimum Experience: Five (5) years of professional experience in secretarial/financial duties.
