Duties

This position will perform a variety of complex administrative tasks in support of the Cross State Maintenance Chief and the statewide maintenance program. The Administrative Assistant will ensure that deadlines and expectations are met in working on assigned program areas, leads, facilitates, and represents the statewide maintenance program on assigned projects and committees. This position exercises judgement and maintains confidentiality as required.

Duties include, but are not limited to:

  • Serves as principal administrative assistant to the Cross State Maintenance Chief:
    • Acts as point of contact for operational and confidential communication,
    • Makes decisions and acts on behalf of manager on administrative matters.
    • Develops, implements, and maintains a standardized administrative workflow system for statewide maintenance operations.
    • Provides support, guidance, and leadership in the agencies task order systems and processes.
    • Coordinates personnel issues such as recruitment efforts, updating position descriptions, work schedules, prepares personnel forms, verifies accuracy prior to manager approval, and other personnel actions and activities.
  • Assists with tracking statewide maintenance budgets and processes financial records.
  • Provides administrative assistance and general support for the Operations maintenance team:
    • Maintains lists of statewide maintenance certifications and licenses such as Certified Driver's Licenses (CDL), First Aid, Heavy Equipment Operations, etc.
    • Gathers data and information from Region Maintenance Managers and the Maintenance Shop for various monthly, quarterly, and annual reports required by headquarters and external agencies.
    • Plans and coordinates events such as conferences, staff meetings, and regional maintenance manager meetings.

Qualifications

REQUIRED QUALIFICATIONS:

  • **Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
AND
  • High School Diploma or GED equivalent.
  • A valid unrestricted (except for corrective lenses) driver's license.
**A formal education will substitute year-for-year for experience.

ADDITIONAL KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of state government, rules, and regulations.
  • Knowledge of State Parks rules and regulations.
  • Ability to work with Microsoft Office products such as Word, Outlook, Excel, PowerPoint, Access, and other software as needed.
  • Ability to manage multiple assignments and competing priorities.
  • Ability in making sound decisions to produce accurate and timely work product.
  • Ability to build and maintain strong, respectful, courteous, and professional working relationships with peers, managers, and customers.
  • Ability to work independently and self-manage while using good judgement and problem-solving skills.
