We are currently seeking to fill our Administrative Assistant position at the South Georgia campus with a highly qualified and passionate individual.

SUMMARY:


The Administrative Assistant will provide administrative support for the Department Chair and faculty of the DO program. Direct report is the office manager for the BioMedical Sciences Department.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


The successful incumbent will perform the following duties, with or without reasonable accommodations:


Enter questions in ExamSoft/Post and communicate ExamSoft Exams/Proctor Exams/Release reports

  • Schedule Student Make-up Exams and Post Exam Reviews with Course Directors & Student Affairs
  • Set up courses on BlackBoard record and posts announcements as needed
  • Post/release grades in BlackBoard
  • Schedule Student Make-up Exams and Post Exam Reviews with Course Directors & Student Affairs
  • Assist faculty with Post Exam Review in ExamSoft
  • Maintain Exam Question Performance Records
  • Schedule/Proctor Student Paper Exam Reviews
  • Maintain grade spreadsheet (Grade Center in Blackboard) of students’ scores
  • Provide copies/prints of lecture handouts as needed
  • Enter final grades in Banner
  • Work with Department Chair on miscellaneous projects for the DO Program, such as recording minutes for monthly department meetings, meeting arrangements & supplies
  • Maintain faculty travel expenses & professional development spreadsheet, assisting with budget reports & curricular retreat documents, maintain Proctor Signup list to ensure assessments are staffed with proctors
  • Meet with Assistant Dean of Assessments to remain current with policy and ExamSoft Administrator
duties for Biomedical Sciences DO Program (along with 1st year administrative assistant)
  • Release Yuja recordings to students upon faculty request
  • Communicate with Guest Lecturers for scheduling and presentation materials upon faculty request
  • Prepare Guest Lecturer Vouchers for Course Director
  • Post Guest Lecturer PowerPoints to BlackBoard
  • Supervise Biomedical Sciences work study projects as needed
  • Ensure 2nd year DO class roster in ExamSoft matches Banner and Blackboard; maintain current class composite (in collaboration with Student Affairs)


REQUIRED SKILLS AND EXPERIENCE:


  • Minimum 2 years’ experience in a similar administrative support role, preferably in a higher education setting.
  • High level of computer proficiency in word processing, spreadsheet, presentations, email, and virtual meeting applications, preferably on the Google Workspace or Microsoft 365 platforms.
  • High level customer service.

- Strong planning and organizational skills.

- Strong communication skills, including written, verbal, and interpersonal.

- Strong collaboration skills.


EDUCATION AND CERTIFICATIONS:

Highschool diploma required, Associates, or Bachelor's Degree in business administration, liberal arts, or similar discipline preferred.


PHYSICAL REQUIREMENTS:


  • Ability to sit for prolonged periods, up to eight hours per day.
  • Ability to lift up to 25 lbs.
  • Ability to view computer screen for extended periods, up to eight hours per day.
  • Manual dexterity and mobility in order to use personal computers and other office equipment.

Salary Range: $50,00 - $55,000
