Job description

Responsible for administrative secretarial duties for Senior Leader and other executive leaders at OGHS. Reports to his/her respective Senior Leader.

Essential Duties & Responsibilities:

  • Performs routine office or clerical support tasks including sorting and distributing mail, photocopying, faxing, typing and filing.
  • Establishes, maintains and revises record-keeping and filing systems. Classifies, sorts and files correspondence, records and other documents.
  • Makes appointments, schedules conferences and meetings, both within and outside the facility, and performs other duties related to maintaining supervisor's personal schedule, exercising discretion in commitment of supervisor 's time.
  • Receives incoming telephone calls, screens, routes calls appropriately, and/or provides information as necessary.
  • Greets clients and visitors directing them to the appropriate manager.
  • Serves as liaison between Senior Leader and managers who report to the Senior Leader, personally transmitting messages, requests and instructions as appropriate.
  • Coordinates registration, attendance, schedules and lodging accommodations for Senior Leader and other executives attending meetings and conferences.
  • Performs special assignments and other duties as required.
  • Adapts to changing situations and communicates with ease throughout all levels of the organization, internally and externally.

Education: High School Diploma/GED required. Associates degree in business or related field preferred.

Experience: 3 years of clerical/secretarial skills required.

Additional experience preferred:

  • Must have computer skills, including Windows 10, Microsoft Word, Microsoft Excel and Microsoft Power Point.
  • Must have organizational skills and communication skills.
  • Must be able to manage multiple phone lines and tasks.
  • Must possess excellent written and verbal skills.
  • Legal clerical experience a plus.
