Your Opportunity + Impact

The Administrative Assistant supports staff members, departments, and divisions by maintaining workflow, improving efficiency and production, creating reports and documents, and managing travel and multiple schedules. The Administrative Assistant can be utilized for billable work.

Key Responsibilities

  • Assists Operational and CST staff with schedules, travel, and productivity.
  • Proofreads draft correspondences and reports and provides final review for overall integrity of company standards.
  • Assists Operational staff with proposals, business planning, client interactions, and routine operational tasks.
  • Assists with printing and preparing drawings for signatures, as needed.
  • Prepares meeting minutes as needed; updates licenses and client contact information.
  • Maintains department/division inventory to include ordering equipment.
  • Assists Managers with updating project management data base and reporting tools
  • Assists with office and department events and day-to-day operations.

Education and Experience

  • Education: Associate or Bachelor’s Degree in Business or related field preferred.
  • Experience: Zero (0) to five (5) years’ experience. Preferred experience with an A/E/S firm.

Preferred Qualifications

  • Strong knowledge with Microsoft office products.
  • Must possess the ability to work both independently and as part of a team, multitask, and have flexible schedule to meet deadlines.
  • Strong interpersonal skills, ability to interact professionally with clients, vendors, and other external sources in a professional manner is preferred.
