Position Summary:

Responsible for the administration and coordination of the day-to-day functions of the Childhelp Children’s Center, as well as direct administrative support to the Manager, Advocacy Operations.

This position does not have direct reports.

Essential Functions:

Office Support

  • Schedules and maintains forensic interview calendar, forensic interview scheduling, and call out data entry in the Electronic Medical Record with assistance from Clinical Services Intake Coordinator
  • Receives and routes for processing, forensic interview and victim advocacy subpoenas and record requests
  • Serves as back up front desk receptionist, including covering for daily breaks and planned and unplanned absences
  • Provides support in carrying out staff recognition and engagement activities
  • Assists in set up and orientation for new employees, including but not limited to badging and office supplies
  • Assists in keeping records of building logs for building licensure, including all safety and equipment logs
  • Monitors office equipment such as copiers, fax machines, and postage machine to ensure proper functioning and address minor issues such as ordering and replacing toner, and escalates more complex issue to facilities
  • Receives and processes requests for office supplies for staff
  • Prepares routine and individualized correspondence, including letters and email to internal and external audiences
  • Provides clerical and logistical support to service providers and vendors to ensure that the Center runs smoothly and efficiently
  • Sets up and prepares for trainings and meetings to include coordinating meeting room calendar
  • Maintains records of petty cash, gift card, and donation receipt
  • Stays current on all mandatory annual retraining and in-services

Play Room Coverage:

Supports Office Assistants in the playroom/teen room:

  • Monitoring children to ensure safety and security
  • Interacts and engages with children, and facilitates 1-1 and group activities
  • Assists volunteers in maintaining a neat and organized play environment by performing light cleaning duties and assisting with tidying the toys
  • Prepares meals for children visiting the Center
  • Assists with toy, clothing, and backpack donations that are provided to children who visit the Center

Other:

  • Performs other related duties, as assigned by the Program Administrator and Center Director

Requirements:

Education/Experience/Knowledge/Understanding

  • High school diploma or general education degree (GED)
  • Minimum one year of previous related experience
  • Bilingual in Spanish
  • Clear background fingerprint background screening through the Department of Justice, FBI and Child Abuse Index
