CSU CLASSIFICATION SALARY RANGE: $3,505 - $5,508

POSITION PURPOSE:

CSUB Antelope Valley is fully accredited by the WASC Senior College and University Commission (WSCUC) which is one of the regional accrediting bodies and has several individual degree programs also accredited by their discipline specific governing bodies. The AV campus offers multiple undergraduate and graduate degrees. The campus offers tutoring services, computer lab, library services, student life, counseling, and health services.

Under the general supervision of the Dean of Antelope Valley, the Administrative Support Coordinator is the first point of contact for the Antelope Valley Center and offers support to students as well as student services personal from both the AV campus and the Bakersfield campus. The incumbent provides information to student related to degree programs, schedules advising appointments, accepts payments, and acts as a liaison with other CSUB division to assist with coordinating student events and campus visits. The Administrative Support Coordinator also provides administrative office support for the AV office and serves as confidential support to the Dean for Antelope Valley.

DUTIES & RESPONSIBILITIES:

  • Administrative Support for CSUB AV Students
    • Schedule students academic advising appointments with correct advisor.
    • Assist students with admissions and records issues by contacting the department on a case-by-case basis in regard to pending admissions applications, receiving official transcripts, graduation checks, admissions appeals, college transfer credits, registration, and/or veteran’s status paperwork.
    • Coordinate with the financial aid advisor for monthly CSUB AV visits and manage appointments for the visit.
    • Coordinate with Student Financial Services in contacting AV students regarding past due payments or other fees that are pending.
    • Provide communication to students through daily phone calls, electronic communication, face-to-face interactions based on questions, concerns, or direction.
    • Schedules one-on-one appointments for students with academic advisors, update student information in Runner Connect.
    • Work closely with schools in Bakersfield to schedule major-specific advising appointment (BPA).
    • Coordinate with BPA, Sociology, Criminal Justice, RN-BASN, and Liberal Studies on a regular basis in regard to student paperwork, class schedule for academic advising and with evaluators for students that are ready for review and approval to attend orientation.
    • Prepare for new student orientation by reconciling the report downloaded from PeopleSoft; process letters for mailing, follow-up with students for academic advising and with evaluators for students that are ready for review and approval to attend orientation.
    • Process payments through CashNet system and maintain cash drawer.
    • Process incoming official transcripts and graduation requests.
  • AV Main Office/Dean’s Office Administrative Support
    • Strategically manage CSUB-AV Dean’s professional calendar by scheduling meetings. coordinating details, and confirming attendance.
    • Coordinate and direct the daily office operations, correspondence, phone calls, inquiries, and make appropriate referrals.
    • Review, revise, and maintain filing systems, ensuring timely filing of documents, removal of files on regular basis, and arranging for storage of archive materials.
    • Coordinate with Budget Analyst on room assignments, office supply purchases, and 25Live.
    • Assist and schedule all lecturer office hours in rotating offices each semester.
    • Create all faculty, lecturer, and staff mailboxes for incoming mail.
    • Update and maintain the Front Desk Procedural Manual for training and reference purposes.
    • Update, maintain, and approve all postings for bulletin boards (electronic and analog) and glass displays for communication and marketing purposes.
    • Maintain daily logs of items sent via courier mail and student request log for all enrollment verifications and transcript requests.
    • Process incoming and outgoing courier mail and postal mail.
    • Manage any mail or delivers for CSUB or CSUB AV with Antelope Valley College.
    • Maintain office supply inventory and place orders when needed.
    • Maintain office machine supplies and service equipment.
    • Maintain CSUB AV website and social media.
  • Provide Lead Direction to Student Assistants
    • Interview, hire, and train new student assistants for the front desk ensuring knowledge of all university policies, regulations, and procedures
    • Interview, hire, and train students assistants to help with social media accounts in support of the Dean and Advancement with marketing strategies for CSUB AV

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – High school diploma or GED and four (4) years of recent (within seven years) administrative support experience.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

  • Regular and reliable attendance is required.
  • Thorough, detailed knowledge of the university infrastructure, policies, and procedures.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
