Administrative Assistant and Office Manager

We're searching for a diligent Office Assistant to provide administrative support. You’ll be responsible for responding to all emails from the courts, opposing counsel, and third parties in a friendly and timely manner, calendaring due dates and deadlines, ordering supplies, and maintaining the office in a neat and tidy condition. Compensation:

$30,000 - $40,000 yearly

Responsibilities:

  • Respond to a high volume of emails using excellent writing skills, proofreading, and good grammar. Able to write succinctly without having others proofread your work.
  • Order office supplies and maintain resources, equipment, and tools needed for the team, visitors, and clients. Apply critical thinking skills to replenish money before they run out and to search for reasonable, competitive prices.
  • Using attention to detail, calendar all due dates and deadlines following specific procedures and protocols. Attentive to font, format, and details.
  • Maintain the office in a neat and tidy condition. Ensure the office is organized and well maintained in between weekly visits from the cleaning company. Empty trash daily.
  • Follows detailed steps and directions to appropriately handle incoming mail including date stamping, opening or not opening depending on type of mail, and calendaring and communicating mail contents.
  • Accurate enter important details, information, and data into the computer.
  • Use Microsoft Outlook daily.
  • Organize stacks of papers and office supplies in a neat, orderly, and consistent fashion.
  • Work with external vendors such as IT support, cleaning companies, document destruction companies, and others using professional verbal communication skills, basic problem-solving, and critical thinking skills.

Qualifications:
  • Shows ability to quickly finish very detailed work
  • Proficient in basic computer software and can quickly learn to use new programs
  • Display excellent written, problem-solving, and verbal communication skills

  • Typing a minimum of 50 words per minute.
  • Excellent business writing skills. Able to write without others proofreading your work and use brief sentences with correct punctuation. Applicant applies correct use of capitalized words, commons, and does not overuse the semicolon.
  • Constant learner who believes in continuous learning and is trainable. High self-esteem and appreciates open candid feedback. Ability to receive and apply criticism of feedback about job performance and skills needed for success.
  • Applicant clearly communicates the purpose of the communication in writing and clearly summarizes facts and information.
  • Honest and trustworthy. Able to appropriately handle confidential information. Able to pass an extensive background check.
  • Strong computer and technology skills. Able to manage common problems like replacing printer ink, resolving printer jams, and changing printer settings.
  • Excellent knowledge and experience with Microsoft Word, Microsoft Outlook, and use of Dropbox, and other data storage software.
  • Team player. Able to support other team members when they are sick or when staffing is short. Willing to do any assignment necessary to help the company meet the needs of the clients and meet goals necessary for company success.
  • Prior buying experience and knowledge of appropriate pricing. You must have some life skills as a consumer or employee who makes common purchases and understands pricing, negotiations, and knows not to spend $10 on one roll of toilet paper but also does not spend a week comparing prices for a basic roll of toilet paper. We are looking for the application of common sense and reasonable decision-making.
