The Department of Corrections is seeking a highly motivated and qualified individual for the role of Administrative Assistant 3 for the Airway Heights Corrections Center (AHCC) located in Airway Heights, WA. This is a full-time day shift position with Sat/Sun off.

This position provides confidential administrative support to Nursing leadership and Health Services supervisors and managers as needed to support the AHCC Health Services’ mission to provide incarcerated patients with medical, dental, and mental health services in accordance with the Offender Health Plan. This position is also responsible for facilitating 24/7 nursing scheduling by preparing the monthly nursing schedule, pre-scheduling overtime, coordinating on-call and agency nurses to ensure adequate staffing coverage for all shifts.

Duties

The Administrative Assistant 3 provides primary administrative support to the Nurse Manager and assists RN3’s and other Health Supervisors as needed. Job duties include but are not limited to:


  • Independently prioritize and coordinate office operations.
  • Perform projects and other administrative services.
  • Edit/revise Medical Duty Officer Binders.
  • Facilitate clearances, recruiting and onboarding processes for new hires, recruitments, and any DOC employee visiting for nursing purposes.
  • Maintain CPR/CEU records for nursing staff.
  • Request and complete all travel requests for nursing positions.
  • Assist Nurse Manager in all preliminary investigations, drafting memos, scheduling interviews, coordinating and labeling paperwork, and ensuring required forms are signed and attached as appropriate.
  • Under the direction of the RN4, perform duties associated with the 24/7 nursing schedule.
  • Nursing Roster Manager – Scheduling. Input master nursing schedule for the year, track receipt of leave slips, unscheduled leave, etc. Type nursing schedule change notices. Post voluntary sign-up sheet and maintain seniority list regarding mandatory overtime. Contact nursing staff and agency nursing services to coordinate staffing.
  • Schedule, document, and track the status of mandatory training for nursing staff and support staff.
  • Maintain various manuals used by the Health Services Unit
  • Provide technical guidance for staff in using computer applications such as Word, Excel, email, etc.

Qualifications

Required Qualifications:

  • High school diploma or equivalent
  • 3+ years increasingly responsible office experience requiring keyboarding/typing.

Desired Qualifications:
  • Experience and/or education in working with medical documents, maintaining or processing health records and using medical terminology.
  • Experience and/or education in working with nursing staff and knowledge of scheduling staff for around-the-clock patient care coverage.
  • Keyboarding or typing accurately at a net speed of 40 words per minute or faster.
  • Demonstrate proficiency in computer applications and related technologies.
  • Data entry, scheduling, work processing and communication via e-mail.

  • Salary is based on experience and is determined at the time a final offer of employment is made. The salary range listed in the job posting includes Steps A-M. Step M is a longevity step and is typically gained six years after being assigned to Step L in your permanent salary range.
