Job Summary


This position provides administrative support to Strategic Enrollment Management and reports directly to the Vice President for Strategic Enrollment Management. Major responsibilities include but are not limited to: managing supplemental budget reviews; managing filing system and documents; coordinating meetings (including presentations, scheduling, and transportation); managing calendar for the Vice President; screening/directing phone calls on a multi-line phone system; processing travel arrangements, reports, reimbursements, and correspondence; utilizing and maintaining various office equipment; and general web site updates (in coordination with ITS); and managing newsletter collection, updates, and release. Perform administrative duties for the Vice President's various additional committee responsibilities. Responsible for use of Purchasing Card for office supplies, professional licensing, computer software, and other various allowable purchases; Assist with HR suite of forms.

Responsibilities

Organizing files and documents; scheduling and coordinating the office calendar for the Vice President. Managing filing system;
utilizing and maintaining various office equipment. Screening / directing phone calls on
a multi-line phone system."

2 - 25
Coordinate meetings: including presentations, scheduling, and transportation; processing travel arrangements, reports, reimbursements and correspondence;
making space reservations. Responsible for arrangements, agendas, handouts, and recorded minute preparation for high-level meetings.

3 - 25
Manage supplemental budget reviews, financial business for the office including purchasing, check requests, and reconciling accounts. Assists in the preparation of reports, presentations, and special projects as assigned.

4 - 25
Professional interaction on a daily basis with various Board of Regent's and University System Office personnel, University personnel, and community leaders.

Required Qualifications


Educational Requirements
High school diploma

Other Required Qualifications
Maintain absolute confidentiality. Utilize professional communication skills to be successful as the initial contact person for all communication directed at the office of Strategic enrollment Management.
Utilize independent judgment to determine which issues/questions can be handled by the Department Directors, instead of passing them on to the VP level. Utilize professional communication skills and a firm understanding of level of priority and importance of 'Key Players' to successfully interact on a daily basis with students and their constituents, University personnel, various Board of Regents members, community leaders. Prioritize requests and manage coordination of meetings/events for the VPSEM. Failure to accomplish these requirements could negatively impact student success, personnel processes, budget, and the service reputation.

Required Experience
5 + years administrative/secretarial experience. Must possess excellent interpersonal, written, and verbal skills. Excellent computer knowledge of Microsoft Office Suite. Knowledge of best business practices and excellent organizational skills The ability to work with people of diverse levels and backgrounds. Must pass a background/credit check to meet requirements for pCard.

Preferred Qualifications


Preferred Educational Qualifications
Bachelor's degree with 3+ years administrative/secretarial type experience or an Associate's degree with 4+ years administrative/secretarial experience preferred. Baccalaureate work preferred.

Preferred Experience
Budgetary experience in a higher education environment

Knowledge, Skills, & Abilities


ABILITIES
Ability to move about office and confined spaces on a daily basis and to lift approximately 20 lbs., as needed.

KNOWLEDGE
Knowledge of Microsoft Word and spreadsheet proficiency
