This position provides advanced and diversified administrative support services for the assigned graduate Program Director(s), program faculty, and students relating to graduate programs in Psychology. Although responsibilities may include providing administrative support for other programs in the School of Psychology and Counseling, the position primarily consists of work in the Ph.D. Program in Clinical Psychology and General Theoretical Masters Program. Responsibilities include coordination of daily office activity; computerized data management; use of electronic mail; maintenance of Program web sites; communication of Office policies, procedures, and practices; maintenance and monitoring of assigned graduate program budget records; and compiling information for research and special projects.
This position also coordinates the entire administrative admissions process for the assigned graduate program(s). Responsibilities include, but are not limited to, assisting in advertisement of these programs, responding to graduate admissions inquires, distribution of admissions materials, tracking receipt of required credentials, correspondence control and follow-up, data entry, completion of admissions folders, coordinating the review of admissions documentation, scheduling of interviews, and correspondence with applicants and enrolled students.
Required Qualifications:
1. High School degree required. College degree preferred.
2. A minimum of three years of professional administrative experience required preferably in a complex office environment or higher education, including office oversight responsibilities and experience with financial record keeping. Prior academic/administrative/admissions experience a plus.
3. Completion of commercial courses related to secretarial, general office, and administrative skills preferred.
4. Computer proficiency for word processing, spreadsheets, and data management required. Knowledge of Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Access, and Outlook) preferred. Experience with Ellucian, PSYCAS or accreditation record-keeping, a plus.
5. Strong organizational skills and attention to detail.
6. Must possess strong oral and written communication skills and the ability to interact effectively and responsively with a diverse student, faculty, and staff population with sensitivity to student needs.
7. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
