We are searching for a focused, detailed oriented, knowledgeable and experienced Accounts Payable Specialist to join our Accounting Department within our mid-sized Commercial Real Estate Company. This position requires a motivated individual with strong accounting and interpersonal skills with the ability to work independently as well as be a team player and possess the desire to learn as well as willingness to take on new challenges and responsibilities in a fast-paced environment.

The person in this position would be responsible for:

  • Owning and maintaining the Accounts Payable process for a portfolio of commercial real estate properties as well as the corporate books and subsidiaries
  • Enter invoices and ensure accuracy of information in the accounting systems (AppFolio and Quickbooks)
  • Manage invoice approval process to ensure timely approval and paying of invoices
  • Maintain Accounts Payable email – timely respond to inquiries from vendors
  • Monthly maintenance of mortgage spreadsheet and payment tracking
  • Quarterly maintenance of real estate tax spreadsheet and payment tracking
  • Monthly maintenance of recurring payments for corporate books
  • Timely processing of weekly check runs, monthly mortgage payments, quarterly real estate tax payments
  • Reconciliation of vendor statements, mortgage statements in a timely manner; following up on any discrepancies to resolve within a reasonable time frame
  • Ensuring the accuracy of all ledgers, accounts, and records
  • Interact daily with vendors as well as other team members
  • Assist the property managers and maintenance staff in daily operations as needed
  • Maintain all vendor W9’s. Maintain tracking such information to stay ahead of missing documents for year-end reporting.
  • Work with property managers to ensure all vendor insurance certificates and requirements are up to date.
  • Setup and Review all new vendor information
  • Annual preparation and disbursement of 1099s
  • Assist and perform other related duties
  • Special Projects as needed

The Ideal Candidate Will Possess:

1) High School Diploma/GED required – Advanced degree in Accounting/Bookkeeping preferred

2) Strong technical accounting skills, strong communication skills, reliable, extremely organized, works well independently, solid excel skills

3) Attention to detail is critical as we process a high volume of invoices

4) 2+ yrs of related Accounts Payable experience

5) Experience with any or all of the following applications a plus: AppFolio, Quickbooks, Quickbooks Online
