ACCOUNTS PAYABLE SPECIALIST

The purpose of the Accounts Payable Specialist is to effectively match all receipts to the appropriate invoice, checking all information to verify its accuracy. Assist with invoice reconciliation, batch all invoices paid, file invoices, inform vendors of billing errors and enter vendor invoices into daily tracking system, issue and track purchase orders. Construction experience preferred but not required.

FUNCTIONS, SKILLS AND RESPONSIBILITIES:

  • Extra strong computer skills necessary
  • Punctuality is a must
  • Keeping track of each project's progress
  • Entering data into our system as projects are issued
  • Assisting Manager and Field Sups with paperwork
  • Scanning, printing & faxing, answering & transferring phone calls
  • Other light office duties
  • Ability to utilize/create emails, calendar events, build and complete jobs (after training) in both our system and the system(s) of the company we receive our jobs from, compiling and utilizing Excel spreadsheets and Word documents.
  • Back-office support for field technician’s projects will be required, as well, after appropriate training in the necessary system(s), in order to streamline the process in which the projects and tasks are completed.

MILTI-TASKING/FORWARD THINKING
Forecast (within reason) the needs of the installation teams of times (travel and production), shift workload when needed to accommodate rush jobs fitting into schedules, pull information from various sources/locations and compiling the information into a report.

FLEXIBILITY
Willingness and initiative to want to learn new programs and systems in order to provide assistance to other team members and departments, when needed. Willingness to work closely with other departments to learn their duties, in order to broaden your knowledge base and gain the ability to assist those departments, should the need arise.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

*Office environment – typical office movement: reach with hands and arms, stoop, kneel, or crouch.
