About EnterpriseWorks and the University of Illinois Research Park: The University of Illinois Research Park provides an on-campus community for corporate innovation centers, startups, and university research centers to locate together. The highly skilled tech workforce, student employees, and research preeminence create innovation and new technologies. The Research Park includes 120+ companies, 18 buildings, and 2,200 employees. EnterpriseWorks, is the Research Park’s 43,000-square-foot business incubator for early-stage tech firms, which is operated by the University of Illinois to help launch successful startup companies. The facility includes laboratory and office suites for rent and common areas and amenities for tenants to jointly use to support their companies. Startup companies that have incubated at EnterpriseWorks have raised $1.2 billion in venture capital investments and been awarded 25% of all the SBIR/STTR federal small business research grants in the state of Illinois annually. EnterpriseWorks manages entrepreneurship support programs, business assistance, and training to aid startups and technology commercialization. EnterpriseWorks also leads federally funded small business technical assistance programs for small businesses and university incubators in Illinois.

The EnterpriseWorks incubator is poised for expansion with two new building projects underway. EnterpriseWorks 2.0 is a new capital project with pending state funding. Its construction is expected to link the existing incubator with an adjacent commercial building, resulting in a 140,000 sq ft. combined innovation location to house start-up companies, a graduation space for growth stage companies, innovation hubs for major companies, as well as provide a cross-campus home for entrepreneurial research, services and programs. LabWorks is a new life sciences facility in the Research Park with wet lab bench space to be jointly managed by the landlord, property management company, and EnterpriseWorks.


Job Summary

Under limited supervision, manages accounting responsibilities for the University of Illinois Research Park LLC and Enterprise Works incubator. This position administers lease administration, reconciliation of payments, grant accounting, with the integral knowledge of University policies, procurement, and accounting procedures to perform the work.

Duties & Responsibilities

  • ACCOUNTING MANAGEMENT
    Manage accounting and expense reporting for federal grant awards and provide documentation of budget expenditures to sponsored agencies. Complete monthly reconciliation of all awards in a timely manner.
    Serve as primary resource for the posting of expenses in for departmental transactions, including t-card purchases, p-card purchases, and travel expense reports.
    Upload and reconcile transactions into Quickbooks for the Research Park, LLC.
    Independently keep abreast of changes or updates to University policies and procedures as they relate to accounting systems and procedures.
    Other duties as assigned appropriate for an Accounting Associate.
  • LEASE ADMINISTRATION
    Administer EnterpriseWorks incubator lease agreements, including creation of lease agreements for incubator tenants in UI ICS contract system, monthly billing to tenants,
    receivable reports for past due payments, rent roll monthly reports, monitoring insurance documentation from tenants, and processing payments with tenants as needed.
    Track lease agreements across buildings in the Research Park by tenants, landlord, and location, including lease rates, duration of term, square feet, and tenant. Enter data
    in Salesforce CRM system and create reports for UIRP LLC use.
    Process ground lease payments to the UIRP LLC, including delivering and depositing checks at University Cashiering.
  • GENERAL ADMINISTRATION
    EnterpriseWorks incubator inventory management including furniture, lab equipment, and computers using University systems such as FABWeb.
    Monthly and annual tracking of Entrepreneur-in-Residence and consulting/contractor hours for UIRP LLC and EnterpriseWorks by client and assistance type.
    Managing incubator building improvement and maintenance work orders with contractors and University Facilities and Services through procurement processes, work order
    entry system, create purchase orders, and paying invoices to contractors
    Maintain and update documentation to support operational procedures related to position.


Additional Physical Demands

Work is performed in a normal office setting. Repetitive use of hands for computer work.

Minimum Qualifications

Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience. OR Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA). OR Master's degree in Accountancy or a related field.

Preferred Qualifications

Experience with UIUC software systems and procedures. Experience using Salesforce CRM system as a database system. Real estate or property management accounting and lease administration experience. Possession of a current registration as a Certified Public Accountant OR a valid license to practice Public Accounting.

Knowledge, Skills and Abilities

  • General knowledge of accounting principles, including cost analysis, budget review, journal entries and financial reporting. Proficiency with accounting systems such as Quickbooks and advanced use of Microsoft Excel. Effective verbal and written communication skills. Excellent keyboarding, grammar
  • and proofreading skills to ensure accuracy and minimize errors in data entry. Strong interpersonal skills that reflect courtesy, diplomacy and a collaborative approach to develop and maintain effective working relationships. Ability to work independently and to exercise good judgment and discretion in the performance of work assignments. Ability to multi-task and prioritize work accordingly to meet deadlines while staying on task with daily assignments. Knowledge and respect for policies and procedures of the University of Illinois and State of Illinois. Preferred Skills: Knowledge and awareness of federal grants and University grants and contracts management. Proficiency in Banner Financial System and other University financial systems such as FabWeb, iCS contract system, and TEM expense management.

Appointment Information

This is a 100% full-time Civil Service 5000 - Accounting Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/1/2023. Salary is commensurate with experience.
