The SD Air National Guard is seeking a qualified Accounting Assistant. This position performs a variety of general clerical, accounting and bookkeeping functions. Duties may include, but are not limited to, ensuring payment of bills and record keeping in compliance with supervisory direction, informing supervisors when budget exceptions occur and compiling transaction data from accounting reports as instructed; document and record department transactions, assigning appropriate codes to non-cash vouchers from other departments, distributing costs to various grants or programs, prepare and record bills and vouchers for payment, document payment and processing errors and corrections, deposit cash and prepare and verify deposits, reconcile vendor statements and handle calls or inquiries from vendors, process requests and maintain record of lost and stolen warrants, maintain vendor files and enter W-9s into State and Federal accounting system; enter requisition into the state accounting system, monitor receipt of purchases and process payments to ensure an accurate account of fixed assets and inventory is maintained, complete necessary paperwork to transfer or surplus items, complete physical inventor of assets both regionally and statewide, secure bids from vendors using established purchasing procedures; coordinate and process travel requests for both Federal and State employees, complete DTS authorizations and vouchers prior to and after return of employee travel, draft and route orders for Federal Civil Engineering employee; perform office administrative tasks, maintain electronic publications library, forms, travel orders and documents, prepare travel orders and travel arrangements for Civil Engineering personnel, and keep file maintenance and disposition of records in the Records Management System; and centralized point of contact for all State employees HR pre-actions, benefits, etc.

The Ideal Candidate Will Have:

Experience preparing invoices, billings and or vouchers, reviewing and coding financial information, maintaining account balances, and filing/maintaining records.

Knowledge of:

  • accounting and bookkeeping terminology and practices;
  • Defense Travel System;
  • automated accounting system ;
  • basic accounting and financial principles;
  • general record keeping and filing systems. .

Skill to:

  • operate computers and use Microsoft Office Suite (Word, Excel);
  • add, subtract, multiply, and divide mathematical figures.

Ability to:

  • display high standards of ethical conduct;
  • attend to all details of assignments and complete work properly, accurately, and thoroughly;
  • treat customers courteously and be responsive to their needs;
  • exercise sound judgment when making decisions and take prompt, decisive action;
  • set priorities, schedule activities, acquire resources, and monitor progress to ensure the successful completion of projects and assignments;
  • work cooperatively with others and promote a friendly work climate in order to achieve shared goals.
