Position Summary

Processes incoming and outgoing mail for all City departments. Provides administrative and clerical support to the Finance Department.

Work Hours: Monday - Thursday: 7:30 AM - 5:30 PM; Fridays: 7:30 AM - 11:30 AM

Range Min for posting: $41,758.02- Range Max for posting: $55,129.97
Hiring Min for posting: $41,758.02- Hiring Max for posting: $44,573.16


Essential Functions

  • Answers the Finance department’s phones, directs callers to the appropriate staff, and takes messages or transfers calls to appropriate individuals. Provide backup for City phones.
  • Sorts and routes incoming mail to the proper department/division.
  • Maintains mailroom supplies, copiers, and equipment to minimize any disruption of services.
  • Processes bid packages and bid advertisements in a timely manner.
  • Provide backup to the Accounting Team with regards to preparing reports, memos, letters, presentations, financial statements, agenda items and other documents, using word processing, spreadsheet, database, or presentation software, and ensures the accuracy of departmental receipts and cash reports with deposit documentation and other supporting information, and other duties as assigned.
  • Scans daily packets for Utility Customer Service division and other documents as needed for the Finance department.
  • Establishes folders and maintains Laserfiche documents. Reviews other scanning for completeness.
  • Assists Purchasing Team with the processing of purchase orders for department and act as backup for other departments’ purchase order entries.
  • Compiles, enters, copies, sorts, and files purchasing records, finance transactions, and other manual department records.
  • Operates office machines, such as photocopiers and scanners, facsimile machines, voicemail systems, personal computers and postage machine. Assist and cross train other employees as needed.
  • Processes outgoing mail for City Departments.
  • Creates and maintains excel spreadsheets for purposes related to the Finance Department needs.
  • Performs all other duties as assigned.

Minimum Qualifications

Education
High School Diploma or GED
Experience
1 year of accounting and administrative support experience required.

Or any combination of related education, experience, certifications, and licenses that will result in a candidate successfully performing the essential functions of the job is an acceptable substitute for the above specified education and experience requirements.

Special Requirements

Must submit to and pass a pre-employment drug test.
