The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Coordinates the day to day administrative, academic and research activities for the attending in Columbia Orthopedics Spine division as assigned, including but not limited to manuscript and publication preparation, lectures and conferences, educational courses, and visitors. Academic Practice Coordinator reports to the Division Manager.

Responsibilities

Maintains administrative relationships with hospital administration, faculty and staff within orthopedics and all hospital departments on behalf of the attending and Department.

Acts as Liaison for physician with all administrative and multi-departmental affairs.

Answers telephones pleasantly; takes complete and accurate messages; prepares and follows up on messages, inquires and refers callers as appropriate; ensures prompt delivery of messages to physicians and nurses.

Maintains master calendar of meetings, lectures, and seminars, as well as keeps Master Schedule and MD Specific Protocol current. Reports any changes in physician's Master Schedule as appropriate.

Opens and sorts incoming mail, distributing correspondence and other material to physician(s) and manager.

Prepare and process correspondence, reports, memos and Manuscripts.

Arrange and coordinate meetings.

Coordinates travel arrangements, including lodging, visas, and passports. Prepares and submits doctor's travel and expense reimbursement forms, with proper back-up documentation; submits for check requests and invoice payments.

Ensures physician has all necessary licenses and certification and that they are up-to-date

Assists in the completion of managed care applications, reappointment paperwork and other similar paperwork, attaches all appropriate certificates, CME information, etc.

Ensure journal-specific guidelines (e.g., formatting) are adhered to. Obtain approval to reuse data and images in prior manuscript(s), if applicable.

Make certain that all author paperwork (e.g., COIs, author agreements, original figures, etc.) is completed, submitted, and archived.

For recently published manuscripts, update all manuscript and CV information.

Assist with the preparation and submission of grant proposals, research protocols and associated contracts.

Assist visitors and observers including scheduling academic programs, OR observations and social agenda (restaurants, car services, etc.)

Performs full registration, insurance verification and schedules patient appointments in Epic as needed as backup for appointment scheduling.

Type routine letters for patients, assists in completion of patient forms, handles transcription; mails all referring provider and PCP's correspondences as necessary.

Obtains all surgical case films and charts and prepares as needed

Attends all regular staff meetings, and provides full coverage for additional doctors' offices during lunch, vacations, sick, etc.

Maintains patient confidentiality and conforms to all applicable HIPAA, Billing compliance and safety guidelines.

Perform ad-hoc and other related duties as assigned by the physician, supervisor and/or administrator.

This position may include travel to multi-sites

Minimum Qualifications

Bachelor's degree or equivalent in education, training and experience, plus at least 2 years of related experience

Excellent communication, organizational and writing skills

Ability to work independently, and as a part of a team.

Must be proficient in Word, Excel, PowerPoint, Microsoft Office and Windows spreadsheet.

Preferred Qualifications

Experience working in energetic, fast paced office environment a plus
