In addition, we provide critical community services through a variety of programs, and at our four State Veterans Homes located in Orting, Port Orchard, Spokane, and Walla Walla. These locations provide Medicare and Medicaid nursing home care to honorably discharged veterans, including, in some instances, their spouses, widows, or Gold Star.

We are in need of a non-perm Administrative Assistant 3 to provide administrative support for our WA Soldier's Home. This includes coordinating and processing payroll/timekeeping, nursing scheduling, budget monitoring and other office duties for our nursing department.

Duties

  • Ensuring the payroll/timekeeping process is completed accurately and timely.
  • Comparing leave requests and overtime slips to employee timesheets.
  • Reviewing and confirming all vacation, sick leave, and other absences are recorded.
  • Ensuring staff complete accurate Payroll Based Journal (PBJ) entries on timesheets; ensuring care hours are entered and uploaded in a timely manner; pulling quarterly reports.
  • Creating payroll reports, spreadsheets and logs to monitor hours for over/under payments or other adjustments.
  • Checking for adequate staffing levels when vacation requests are submitted; completing and posting the annual vacation schedule for all nursing staff.
  • Monitoring and tracking vacation positions; assisting with the recruitment process (scheduling interviews, processing paperwork, conducting reference checks, coordinating New Employee Orientation).
  • Answering calls, filing, copying and other clerical duties as assigned; providing back-up support of the Office Assistant.

Qualifications

Required:

  • High School diploma or GED.
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
Please Note: College level education will substitute for the required experience on a year-to-year basis.

Desired:
  • One (1) year of experience processing payroll in HRMS.
  • One (1) year of experience with scheduling staff.
  • Proficient in Microsoft Office including Word, Excel, and Access.

  • State employees must be fully vaccinated. Your vaccine status will be verified at New Employee Orientation.
  • Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
  • Position requires medical evaluation, fit testing, training and use of respiratory protection as required by the Washington Industrial Safety & Act standards.
  • Must pass annual TB testing and remain current in CPR.
  • Must be capable of pushing or pulling with sufficient strength; able to walk, sit, and bend in unrestricted manner on a consistent basis.
  • This position is represented by WFSE.
