Position: Time and Attendance Specialist - Reporting in-person to our Florham Park, NJ office

Primary Function:

The incumbent is responsible for administering all aspects of our organization’s time and attendance policies, monitors activity as specified by the company’s policies and procedures, and ensures compliance with all federal, state, and local labor legislation and regulatory policy.

Job Scope and Major Responsibilities:

  • Manage all timekeeping activities including identifying and documenting all missed time and applying the appropriate paid time off in adherence to Asembia policies and procedures and in compliance with applicable federal, state, and local labor laws for a bi-weekly payroll processing.
  • Maintain accurate record keeping and reporting for internal and external audit purposes.
  • Monitor employee time and attendance records for inconsistencies, address and provide guidance to front line leadership regarding corrections and adherence to process and policy.
  • Provide analysis and support in resolving complex time issues, including ad hoc data quality audits to reduce the risk of timekeeping or payroll issues.
  • Maintain current knowledge of Asembia’s internal and external policies, including legal, legislative, and regulatory agencies to ensure compliance in multiple US states.
  • Assist company leadership in the development, preparation, and delivery of value-added reporting and metrics regarding time and attendance to support business strategy and employment initiatives.
  • Partner with supervisors, senior leadership, and HR Business Partners in performing all aspects of Asembia’s step corrective actions up to and including separation of employment.
  • Establish and maintain strong working relationships with all levels of company employees.
  • Create and maintain all knowledge management documents regarding Asembia’s standard operating procedures for time and attendance.
  • Maintain confidentiality with highly sensitive information and adhere to all data privacy and internal compliance requirements.
  • Other duties as assigned.
  • Compliance with the provisions of the Health Insurance Portability and Accountability Act of 1996 and its implementing regulations, as amended (“HIPAA”).

Performance Criteria:

  • Acute skill in understanding and interpreting employment law and regulations for an organization that operates in multiple US states for application to business practices.
  • Experience working within an organization headcount of at least 1,000 employees.
  • Superb analytical skills – ability to zero in on the smallest irregularities and discrepancies.
  • Exceptional time management, organizational, and problem-solving skills – you can manage multiple priorities and maintain a high degree of accuracy while adhering to business deadlines.
  • Ability to handle challenging situations with tact – diplomacy and discretion so all parties that you communicate with feel heard and acknowledged.

Required Qualifications:

  • 3-5 years of Human Resources/Payroll experience as a Coordinator, Senior Coordinator, Specialist, or Junior Generalist.
  • Strong working knowledge of time and attendance tracking and administration.
  • Bachelor of Science in Human Resources Management or related area of study desired.
  • SHRMP-CP or PHR certification a plus.
  • Experience with ADP Workforce Now preferred.
  • Intermediate to advanced proficiency in MS Office – particularly Excel and SharePoint.

Pay: $21.00 - $26.00 per hour
