Seeking a motivated and qualified Laboratory Support Supervisor with demonstrated skill and interest in overseeing anatomic pathology support services in a busy academic medical center. This individual will be responsible for overseeing and coordinating pathology support activities within the Department of Pathology and Laboratory Medicine, including medical transcription, receiving, collating, and referring pathology materials for expert consultation and testing, developing and maintaining quality assurance reports, registering outside patients for consults, collaborating with clinical departments for send-out requests, leading and managing improvement projects, and answering phone calls from clinics and physicians. Trains existing and new direct reports in processes and procedures; monitors and approves time and attendance, including time-off requests and workload distribution. Candidate must be team-oriented and able to work independently and as part of a team. Excellent written and verbal communication skills with strong interpersonal and criticial thinking skills. Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint. Willingness to lead improvement projects and optimize processes and procedures. Familiarity with Epic information systems.

JOB SUMMARY: Responsible for daily supervision of medical transcriptionists, and others as assigned, and participate in departmental transcription duties. Oversees workflow to ensure smooth transition of information, ensuring patient care is delivered.

EDUCATION/EXPERIENCE: High school diploma or GED recognized equivalent. Four years of clerical experience preferred to include medical transcription. Minimum typing speed of 60 words per minute. Strong knowledge of medical terminology.

ESSENTIAL FUNCTIONS:

  • Provides daily supervision of medical transcriptionists and other assigned personnel. Develops and completes performance evaluations. Monitors time and attendance, approve and track requested time off, and monitor workloads. Oversees orientation and training of new staff. Coordinates on-going training for staff.
  • Provides high level of patient care and excellent customer service.
  • Coordinates the interaction between pathologists and department.
  • Transcribes medical dictation and type clinic reports, records, patient resumes, surgical procedure documents and miscellaneous correspondence from rough drafts, corrected copy, or dictated notes. Maintains clinic transcription logs. Assigns work and monitors completed transcriptions.
  • Runs daily transcription reports and determines items needing special or immediate attention. Supervises and manages slide and report filing.
  • Maintains a variety of logs/lists regarding such items as return mail information and referring physicians.
  • Coordinates process for registering patients in WakeOne for consults, and other work referred to with billing and accessioning departments.
  • Works in conjunction with other departments, providing support for justification of specific treatment protocols.
  • Answers calls from the clinic and external physicians and process requests.
  • Maintains service and repairs of all dictation equipment.
  • Identifies opportunities for process improvement and work with cross-departmental teams to implement improvements.
  • Performs other related duties incidental to work described herein.

SKILLS/QUALIFICATIONS: Strong knowledge of medical terminology. Excellent oral, written and interpersonal communication skills. Demonstrated technical skills in the use of Human Resources ERP systems. Strong proficiency in Microsoft office applications. Ability to communicate in both technical and non-technical formats. Strong critical thinking and problem solving skills. Ability to manage multiple projects, delegate, and reprioritize tasks as necessary Strong organization and time management skills. Ability to work in fast- paced, dynamic team environment. Ability to maintain a high level of confidentiality. Strong customer support skills. WORK ENVIRONMENT: Clean, comfortable office environment.
