The Purchasing Specialist, under general supervision, researches, evaluates, and requisitions services, equipment and supplies in support of Bank Operations based on price, service, quality, and warranty to meet the needs of the Bank. Ensures quality service for both internal and external clients. Assists Purchasing management whenever necessary and oversees procurement activities in manager’s absence, working closely with upline management.
Essential Functions:
  • Performs duties related to the requisitioning of services, equipment, and supplies in accordance with established policies, procedures, and regulations.
  • Coordinates purchasing details with vendor, requisitioner and Purchasing management, including pricing revisions, order cancellation and invoice discrepancies.
  • Work with HTH Procurement, Vendor Risk Management, and legal as necessary to assist bank departments with purchase requisitions including sourcing request via the Ariba Vendor Management tool.
  • Places orders, ships packages, processes invoices, and locates supplies, equipment, and suppliers.
  • Makes recommendations regarding purchases and vendors.
  • Keeps informed on new bank technology products, market conditions and current prices.
  • Resolves problems and issues arising from purchase of services, equipment, and supplies or escalates to Purchasing management, as needed.
  • Coordinates with bank branches, operation centers, and third-party couriers to ensure that assigned customers’ non-cash items are picked up and processed in a timely manner (e.g. lockbox services).
  • Other duties as assigned.
Job Requirements:
  • High School diploma, general education degree (GED), or equivalent required; Associates degree or higher preferred.
  • 1 or more years of experience in an administrative role or related field of expertise. Previous experience with invoicing, supply orders, or similar strongly preferred.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to work on multiple assignments with speed, accuracy, and attention to detail.
  • Must be self-motivated with high level of accountability.
  • Proficient with Microsoft Office suite of products (specifically Outlook, Word, Excel) and general office equipment.
  • May perform physical activities, such as, but not limited to, lifting (up to 50 lbs. unassisted), bending, standing, climbing, or walking; may also require extended sitting.
