Job description

Operations Support Specialist is to support the state’s emergency response and recovery activities. The purpose of this classification is to provide critical operational and administrative support to the state’s response. Also, to support the daily operations lead, support daily staffing levels, and respond/manage communications.

Incumbent must be able to provide support a minimum of 35 hours a week minimum, with ability to work off-hour shifts, weekends, and holidays as needed to support the response requirements. Length of contract dependent on resource needs and funding availability.

Responsibilities

Essential job functions include:

  • Serve as an administrative manager for the unit
  • Maintain documentation of process updates and changes
  • Take part in leadership meetings to provide input on overall planning
  • Coordinate shifts, sick days, and general personnel scheduling
  • Attend and support meetings and document meeting minutes and action items required
  • Manage all inquiries and ensuring timely follow-up is provided
  • Serve as a point of contact for unit leadership
  • Provide general administrative management
  • Supervise and participate in the processing and maintenance of financial, personnel or other important records
  • Additional duties as assigned by Supervisor

Minimum Qualifications

Due to the nature of this work, the selected candidate must have sufficient education, training, and experience to demonstrate the possession and direct application of the following knowledge and abilities:

Knowledge, Skills, and Abilities

  • Strong ability to proficiently use software programs (Microsoft Office Word, Power Point, Excel, Outlook) and statistical analysis software and programming languages.
  • Ability to work independently and in a team environment.
  • Ability to adapt to rapidly changing priorities
  • Ability to maintain accurate records and prepare clear, concise and timely reports.
  • Ability to effectively communicate with staff, community partners, and the general public in a manner that is courteous, professional and supports public health objectives.
  • Ability to utilize appropriate communication methods for interacting effectively and professionally with persons of all ages and from diverse cultural, socioeconomic, educational, racial and ethnic, sexual orientations, lifestyles and physical abilities.
  • Demonstrated ability to coordinate with government partners
  • Ability to identify gaps in existing resources
  • Self-sufficient (needs little supervision)
  • Sound interpersonal communication, telephone, email and business etiquette

Education and Experience

  • Bachelor’s in related field and 2+ years related experience required, or Master’s · Public health or emergency management experience preferred
  • US work authorization (Required)
  • Experience in the use of video/web conferencing tools (such as MS Teams) and Microsoft Office software (i.e., Word; Excel; PowerPoint; Outlook)
  • Prior emergency response experience preferred
  • Experience working in Microsoft Teams and SharePoint desired

Job Type: Full-time

Pay: $22.00 - $24.50 per hour

Schedule:

  • 8 hour shift
