About Us

CareLink is a non-profit network of senior care providers working together to ensure that adults in our community can access the services and supports they need at the times when it matters most. We are looking for a Operations Coordinator who will be responsible for maintaining smooth operational processes for CareLink programs and staff members.

Primary Responsibilities:

· Assists with information/data management including document retrieval/storage, scanning, and filing documents

· Gathers and prepares presentations for Senior Leadership Team (Board updates, stakeholder information sharing, etc.)

· Owns meeting minutes for SLT and ensure proper tracking of follow through from designated party

· Coordinates in-office meetings, lunches, airline/hotel reservations, office/kitchen supplies, medical reimbursement submissions and other administrative support

· Ensures professional presentation and organization of shared spaces, conference rooms, storage locations etc.

· Proactively assesses and orders office supplies, employee uniforms etc.

· Chairs company events and leads the team through the process from communications, coordinating planning meetings and follow through, printing services, space coordination, catering, employee recognition, outside stakeholder engagement etc.

· Manages and processes mail, handles what is appropriate and is accountable for when to request support

· Oversees telecommunications – phone, internet, intranet and external facing website – reviews monthly invoices, oversees contract expectations

· Liaises with IT vendor for management of employee emails, computer needs, etc

· Identifies and prioritizes all departments’ IT needs including hardware/ equipment and software, and

· Collaborates with COO and IT vendor in order to secure and manage all IT purchasing

· May assist accounting with check requests, printing checks, and additional support as needed

· May assist with generating, submitting, and collecting invoices

· Assists HR with various onboarding duties to include preparing new hire packets, IDs, uniforms, etc.

· Supports HR with tracking employee training, regulatory requirements, licensure, and coordinating onsite CEUs or other trainings as needed

· Collaborates with HR to manage enrollment information for Relias, CareLink’s educational in-service software; coordinate with Finance when new members must be billed for Relias

· Coordinates employee recognition in partnership with HR and Managers

· Communicates with outside vendors in a professional way

· Manages SLT calendars to ensure smooth day to day

Position requirements:

· Associates degree – Bachelor’s preferred

· 5 years of experience leading a team in an Administrative/ Management role

· Exceptional computer skills – Outlook, Excel, HRIS, other software

· Excellent written, verbal and listening skills

· Ability to synthesize ideas and data to present to a variety of audiences

· Willingness to go outside of scope to support the mission of the organization and the internal/external stakeholders

Job Type: Full-time

Pay: $24.00 - $27.00 per hour
