WHO YOU ARE

A Media Accounting & Integrated Operations Lead with a strong foundation in media accounting/finance and agency operations. A true business partner with a commitment to delivering measurable results for both the agency and clients.

YOUR ROLE

As head of the department, the individual will be responsible for the agency's entire media billing cycle with the management of teams with oversight of all aspects of three key areas:

  • Media/Client billings & reconciliation and receivables collection
  • Integrated Media Operations
  • Media Vendor payments & reconciliation

The Managing Director partners with the media team and has oversight of client billing across the agency. This position assists the CFO to ensure financial controls and processes are in place and are followed. Key areas are client invoicing, receivables collection, vendor payments, billing reconciliations to actuals, media vendor statements monitoring, client budget reporting (where applicable), and client audits (when required). Key tasks are to ensure department adherence to

timelines across the cash flow process, media invoice payments, client remittance, and vendor payments. The role will also be the key point of contact with media vendors.

The Integrated Media Operations team supports the planning and buying team in financial tracking (e.g., PO's, Media Budgets, etc), client-specific systems requirements, media authorization tracking, etc., and is ongoing, continuous, and ensures the agency Is meeting client financial and budget requirements. The role oversees and supports the Media Operations team and ensures this department operates holistically and provides seamless support to internal stakeholders and management.

This key role partners closely with internal stakeholders (Media and Agency Leadership) and is responsible for the financial operations and process for the entire revenue cycle (input, billing, actualization, and collection) and plays a key role in systems and process reengineering of the revenue cycle as well to ensure revenue cycle is on track for all clients at all times.

YOUR OBJECTIVES

Responsible for the oversight of client billing packages and preparing client-facing documents and financial reporting monthly and ad hoc requests. The Lead should possess strong business acumen and the ability to manage key internal and external relationships in a collaborative manner as well as a good understanding of the agency billing/collection process.

  • Lead, manage, and steward all components of the client billing cycle. Including standard operating procedures for estimate and reconciliation invoicing, plus any custom requirements that the agency has agreed upon with the client.
  • Develops and maintains strong relationships through effective project management of media deliverables and proactive problem-solving in a process-driven environment.
  • Streamlining workflow to align responsibilities across the teams, ensuring a smooth practice.
  • Manage, train, and motivate the day-to-day billing/collection/ops teams to ensure they collaborate and produce accurate work on time.
  • Must be familiar with all system-generated media billing reports and be able to troubleshoot issues.
  • Provide financial reporting, on an as-need basis, for a range of client deliverables including monthly accrual reporting. Design and implement any client and/or product-specific reporting needs.
  • Provide reporting internally to Finance Leadership for forecasting and reconciliation purposes.
  • Analyze monthly financial results, prepare monthly results packages, and review with Finance and Media teams.
  • Proactively manage key financial points of client contracts working with Media and Finance
  • Manage client POs, AR, WIP, Match Pay, and client budgets.
  • Work with the media team to perfect detailed client-facing financial trackers that are informative and easy to view. Ensure the media teams is informed of tracking vs budgets.
  • Initiate client conversations when a likelihood of either an under-run or over-run of project financials seems possible.
  • Effective leadership skills in managing a system upgrade and conversion of a media buying platform, including the implementation of custom processes across teams.
  • External Vendor/Partner relationship management with an emphasis on accountability, assuring work is done accurately and with consistency.

REQUIREMENTS:

· 20+ years of experience in media and financial operations in a large media buying agency.

· Intimate knowledge of Mediaocean, Donovan or Freewheel

· Must be process-oriented and be good at process redesign to make the functioning of the department more efficient as the agency grows.

· Ability to own client finance calls- facilitate meetings and conduit for questions/answers.

· Team builder and respected with motivational and leadership skills.

· Adept at identifying and motivating talent, being a role model to others

· Highly Analytical- break a problem down and bring forth solutions proactively.

· Manage a team of 23.

Pay: $165,000.00 - $200,000.00 per year
