Summary

Prepare and process various routine pleadings, correspondence, and documents as directed. Input new records and record statistics, docketing and dispositional information in office database. Input new records and track them through the criminal justice system. Answers phone calls from the public and provides them with accurate information.

Example of Duties

Enters case information on the computer; performs basic research to verify information as directed.

Greets and assists the public, staff, and other agencies by phone or in person by providing detailed information as authorized from sources such as published manuals, directories and procedures, calendars, and staff schedules; refers inquiries/visitors to appropriate department or individual when necessary.

Completes regularly recurring reports; compiles data from varied sources and makes summary reports as required. May involve routine mathematical calculations and tabulations in accordance with established methods.

Establishes, maintains, and updates detailed files, records, dockets, and logs on computerized and manual record-keeping systems; verifies data, then enters and edits reports or information; searches files and records for readily identifiable information as directed; monitors inactive files, updates records, and destroys as authorized.

Types and distributes legal documents, forms, briefs, correspondence, reports, memoranda, dispositions, statistics, and schedules from hand written drafts or notes, verbal or standing instructions by using computers, calculators, photocopiers, scanners, Microsoft Office, and other standard office equipment.

Maintains an appointment and court calendar for staff in assigned area and may assist in scheduling of appointments, meetings, and hearings.

Sorts and distributes mail according to general knowledge of department activities and programs; may prepare out-going mail for the unit.

Provides back-up support to other secretary positions and the office in case of absence or work overload.

Performs other related duties as assigned.

Qualifications

High school diploma, or G.E.D., coursework in legal secretarial practices preferred, and two years of progressively responsible legal secretarial experience; or any combination of education and experience which would provide the applicant with the desired skills, knowledge, and ability required to perform the job.

Valid Driver License.

Knowledge, Skills, & Abilities

Knowledge of legal secretarial and office practices, procedures, and equipment.

Knowledge of legal terminology, forms, and documents.

Knowledge of and ability to apply business and legal English, composition, grammar, spelling, punctuation, and letter format.

Working knowledge of court procedures, legal processes, and the criminal justice system.

Working knowledge of departmental functions and procedures.

Skill in operating standard office equipment such as computers, Microsoft Office, calculators, scanners, and photocopiers.

Good oral communication skills to explain detailed policies and procedures and to deal with other employees, law enforcement agencies, attorneys, and the general public using courtesy, tact, and good judgment.

Ability to read, understand, apply, and explain County/department policies and procedures.

Ability to work independently, organizing work with a minimum of supervision.

Ability to establish and maintain complex manual and computerized filing and record-keeping systems.

Ability to work quickly, accurately, and thoroughly with close attention to detail to meet deadlines.

Ability to prepare accurate legal reports, correspondence, and records.

Ability to type at level required for specific position.
