Job Description: Legal Assistant (Family Law Office)

Position Overview:

We are seeking a skilled and dedicated Legal Assistant to join our family law office. As a Legal Assistant, you will play a vital role in providing support to our attorney and contributing to the smooth operation of the firm. You will assist with various administrative and legal tasks, ensuring that our clients receive excellent service, and our attorney has the necessary support to handle family law cases efficiently.

Responsibilities:

· Case Management: Assist attorney in managing family law cases, including organizing and maintaining case files, drafting legal documents (petitions, motions, affidavits, etc.), and ensuring timely submission of court filings.

· Client Communication: Communicate professionally and courteously with clients, both in person and over the phone, to schedule appointments, gather information, and provide updates on case progress. Maintain client confidentiality and handle sensitive information with discretion.

· Legal Research: Conduct legal research on relevant statutes, regulations, and case law using online databases, libraries, and other resources. Summarize and present findings to attorney to support case strategy and preparation.

· Document Preparation: Prepare and format legal documents, such as pleadings, contracts, and agreements, in accordance with established guidelines and templates. Proofread and edit documents for accuracy and completeness.

· Calendar Management: Maintain attorney calendars, including scheduling hearings, court appearances, and client meetings. Coordinate with opposing counsel, court personnel, and other parties involved in cases to arrange meetings and resolve scheduling conflicts.

· Administrative Support: Provide general administrative support, including answering phones, responding to email inquiries, filing documents, and managing office supplies. Assist with billing and invoicing processes as needed.

· Court Support: Accompany attorney to court hearings, trials, and depositions to provide administrative assistance, document support, and assistance with exhibits. Prepare and organize case materials and assist in courtroom setup.

· Recordkeeping: Ensure accurate and comprehensive recordkeeping of case-related information, including client communications, court filings, and correspondence. Maintain electronic and physical filing systems to ensure easy retrieval of documents.

· Team Collaboration: Collaborate effectively with attorney, paralegal, and other staff members to ensure a cohesive and efficient workflow. Assist colleagues with overflow work and provide support during peak periods.

Qualifications:

· Bachelor’s degree in any field; additional legal assistant certification or associate degree preferred.

· Experience as a legal assistant or paralegal, preferably in the field of family law.

· Solid knowledge of legal procedures and terminology related to family law.

· Proficient in legal research, document preparation, and case management software.

· Strong organizational skills with the ability to prioritize and manage multiple tasks efficiently.

· Excellent written and verbal communication skills, with a professional and client-service-oriented approach.

· Attention to detail and accuracy in all work tasks.

· Ability to maintain confidentiality and handle sensitive information appropriately.

· Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and legal research databases.
