Lease Administration/REC Coordinator



IMPACT ON OUR BUSINESS:

  • Coordinate critical tasks and processes within the Bealls Retail Group Real Estate department and external landlords, vendors and professionals.

INTERACTION:

  • Reports to Senior Manager of Real Estate
  • Extensive interaction with Director of Construction, Real Estate Manager, Regional Site Managers, Property Manager, and Real Estate Portfolio Manager.
  • Regular interaction with the Finance Department.
  • Interaction with Marketing
  • Regular interaction with landlords and brokers and other vendors.

SUMMARY OF DUTIES AND RESPONSIBILTIES [Essential Functions]:

  • Coordinate Real Estate Committee meeting agenda and market overviews.
  • Assist in communicating, preparing, and maintaining the Pro Forma Leasehold Conceptual Budget.
  • Manage Lease Administration responsibilities including but not limited to:
    • Lease Review Checklist
    • Preparation of Lease documents for execution
    • Lease abstract review
    • Notarize documents after execution
    • Short Form Lease recording
    • Address confirmation for new stores
    • Prepare and execute Rent Commencement Agreements for new stores
    • Monitor Legal budget and approve attorney invoices
  • Prepare and report Customer Data Analytics
  • Perform other duties and responsibilities as assigned.
  • Maintain the office, which includes file maintenance and supply ordering
  • Backup person for Property Manager when out of the office.

QUALIFICATIONS:

  • College Degree preferred.
  • Good communication skills, both verbal and written.
  • Ability to multi-task and meet deadlines.
  • Proficient with Microsoft Outlook, Word, and Excel.
  • Good organizational skills.
  • Thrives in a team environment
  • Fluent in English.

PHYSICAL DEMANDS:

  • Must have adequate vision, speech, hearing and physical ability to perform essential job functions, with or without reasonable accommodations.
  • Must have full body rotation and mobility (i.e., bending, stooping, twisting and reaching).
  • Must be able to lift and carry at least 10 pounds.
