Summary

Under minimal supervision, the HR Administrative Assistant provides proactive, responsive, and effective administrative and clerical support to the Director of Human Resources and HR management team by assisting in a variety of complex, highly sensitive and confidential matters, including communications, files and information. The Administrative Assistants acts as liaison and representative for the HR Department to all levels across the organization, including internal and external guests.


Duties/Responsibilities

  • Prepares confidential work including materials for proposals, reports, presentations, and meetings and maintains department’s confidential files.
  • Researches and compiles information from files, internet, and HR systems to assist in analysis and decision-making.
  • Coordinates team member communications ensuring posting relevance, distribution timeliness and standard adherence is maintained, as well as assisting in maintaining social media sites.
  • Creates and maintains reports using HR Systems and spreadsheets as requested.
  • Creates and modifies documents such as reports, memos, letters and other documents using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office and other programs.
  • Coordinate legal review of documents and prepare Action Items for submission.
  • Perform routine administrative duties as assigned, including preparing reports, preparation of training and travel arrangements, and assisting the other members of the Human Resources staff with special projects or as needed.
  • Act as a backup for HR Clerk by assisting with distribution of mail, completing check requests and purchase orders, filing, typing, copying, faxing,
  • Take department and committee meeting minutes and notes, as requested.
  • Must be physically present to work a regular, reliable, and predictable work schedule in accordance with business demands, and maintain a consistent and regular attendance record.
  • Perform special projects and other responsibilities, tasks, or duties as requested.

  • Participate in open communication and provide feedback to management regarding operations, staffing, personal development, and operational productivity.
  • Serve as a contributing Team Member of the Soboba Band of Luiseño Indians enhancing the Casino’s operations in all its business endeavors.

Education / Qualifications

  • Must be 21 years of age, or older.
  • High School Diploma or GED equivalent, required.
  • Two (2) years prior clerical experience or equivalent experience/education preferably in human resources, preferred.
  • Excellent verbal and written (grammar, spelling & formatting) communication skills to promote a positive and professional image. Advanced reading-comprehension skills required.
  • Demonstrable advanced-level experience in the operation of general office equipment including personal computer and Microsoft applications such as Word, Excel, PowerPoint, Publisher and Outlook is required.
  • Must be able to type 35 wpm.
  • Ability to work with sensitive information requiring high-level of confidentiality.
  • Able to follow up and complete tasks within established timelines by effectively using organizational skills to manage and follow through on multiple-tasks and deadlines.
  • Able to work professionally and tactfully with people throughout the organization.
  • Familiar with social media including the maintenance and creation of postings and communications.
  • Must be able to provide evidence of eligibility to work in the United States of America.


Certificates, licenses and registration

  • Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
  • Required to submit to and obtain negative results on all drug and/or alcohol testing.
