Job Duties

**This is a non-exempt, hourly/wage position without benefits; scheduled to work up to approximately 29 hours per week on average and up to 1,500 hours annually (May 1 – April 30). **

Duties Overview:

Provide support to Human Resources Management Services (HRMS) staff related to compensation and classification (C/C), data management and reporting, and special projects.

Create and maintain organizational charts for agency, using Visio software; save information on the share directory for staff distribution; submit changes impacting executive team to the Web Master.

Update automated files to reflect changes in positions and organizational structure; and produce and distribute charts and custom reports from relevant database, as directed.

Review and edit Employee Work Profiles and Wage Position Descriptions to ensure they are complete, updated and in the proper format, and saved in the automated position files.

Assist with updating policies, procedures and training; maintain automated and paper position files.

Prepare and distribute reports and correspondence.

File and manage confidential records.

Handle records retention actions; and process position, employment and/or status change requests (establish, repurpose, transfer, role change, etc.).

HRMS projects, as assigned.

Minimum Qualifications

Knowledge of human resource principles and practices, including federal and state laws and regulations applicable to work and data reporting and management guidelines.

Ability to maintain confidential information.

Strong communication (oral and written), interpersonal, analytical, computer (word processing, spreadsheet, organization charts, and database management) and organizational skills.

Ability to analyze issues and recommend actions; interpret and apply policies and procedures; collect and analyze data.

Ability to work on projects, conduct research and meet deadlines.

Ability to use automated systems and proficiency with Microsoft Office Professional or 365, including Excel, Word, Access and Visio.

Ability to work independently.

Ability to handle multiple tasks; prepare reports, training and organizational charts; and update related databases and files.

Preferred Qualifications:

High school diploma or equivalent, and/or equivalent experience and training.

Experience working with state government.

Extensive experience with Viso software and or related software to create and maintain organizational charts.

Extensive experience using VISIO and/or related software to create and maintain organization charts.

Extensive experience using Excel to report data (using formulas and Pivot tables).
