KIPP Baltimore was founded in 2002 with the opening of KIPP Ujima Village Academy middle school. In 2009, KIPP Harmony Academy was launched, and they now collectively serve more than 1,500 kindergarten through eighth grade students each day. Job Description


Role Overview

KIPP Baltimore is seeking a highly motivated and detail-oriented Grants & Finance Manager. Reporting to the Director of Finance, the Grants & Finance Manager will be a key member of the Regional Team and support managers and staff across KIPP Baltimore. The Grants & Finance Manager supports the Director of Finance and KIPP Baltimore’s external accountants (Ed-Ops) with grants, account payables, and other administrative functions while providing a high standard of customer service.

Responsibilities

Grants Financial Support

  • Primary owner of grants and restricted spending disbursed through Baltimore City Public Schools, responsible for ensuring that KIPP Baltimore optimizes and maximizes spending against these revenue streams
  • Partner with senior leadership in the development of our plans and provide finance support to ensure that this restricted money is properly spent via the required City Schools systems and procedures
    • Provide detailed analytical and financial support to determine the specific costs associated with each element of each plan
  • As plans evolve over time, adjust spending via City Schools systems as required to ensure that this restricted money is spent as fully as possible
  • Oversee/coordinate the organization’s restricted spending procurement via City School’s K12Buy system as needed
  • Partner with the Director of Finance and external accountants to ensure this restricted spending is accurately reflected in the organization’s budget and financial reporting
  • Over time, support the Development team with respect to grant proposals as well as tracking and implementation of spending against non-City Schools disbursed restricted gifts

Accounts Payable Support

  • Oversee our invoice processing system by:
    • Ensuring invoices are effectively entered into the system
    • Ensuring that invoice submitters are properly trained and supported and that they properly code and approve invoices on a timely basis
    • Ensuring that invoice approvers are properly trained and supported and that they are timely and diligent in their review and approval of invoices
    • Troubleshooting invoice issues or problems
    • Ensuring w-9s are collected and saved in a systematic and timely manner
    • Identifying and implementing process improvements as appropriate
    • Absorb responsibilities for administering our invoice processing system (Concur) from our external accountants as appropriate
  • Oversee our expense reporting system by:
    • Ensuring that staff are properly trained and supported on our expense reporting system and that they properly code expenses and submit their reports on a timely basis
    • Ensuring that expense report approvers are properly trained and supported and that they are timely and diligent in their review and approval of expense reports
    • Troubleshooting expense report issues or problems
    • Identifying and implementing process improvements as appropriate
    • Absorb responsibilities for administering our expense reporting system (Concur) from our external accountants as appropriate
    • Over time, absorb responsibilities for administering our corporate credit card program

Administrative Finance Function

  • Prepare deposits as needed (typically weekly)
  • Oversee and execute process and documentation for manual checks
  • Improve and oversee the organization’s cash-handling processes (generally related to field trips and book fairs)
  • Support year-end close and annual audit process as needed
  • Update compliance policies and procedures as requested
  • Execute other administrative finance projects as requested
  • Document key finance processes and policies as agreed upon with the Director of Finance
  • Over time, absorb finance department support for payroll and benefits from the Director of Finance
  • Over time, provide assistance to Development, the Director of Finance, and our External Accountants with respect to accounts receivable
  • Over time, potentially absorb limited accounting responsibilities from our External Accountants (Ed-Ops) as appropriate.

Qualifications
  • CPA is not required, but accounting experience is required
  • Grants administration experience is required
  • “Non-profit fund accounting” expertise/experience is strongly preferred
  • Experience with QuickBooks (or comparable system) is strongly preferred
  • Outstanding attention to detail is a must
  • Intermediate MS Excel skills
  • Excellent organizational skills
  • Adherence to deadlines with or without direct supervision
  • Demonstrated commitment to superior customer service
  • Strong communication skills
  • Self-starter who takes initiative
  • Strong time management skills
  • Willingness to “get your hands dirty” and understanding that no task is too big or too small.

Compensation and Benefits:
This position is 30 hours per week. Salary is $43,950. Full benefits.
