Job Description: Scheduler Visiting Angels, Grand Junction

The Scheduler at Visiting Angels is responsible for the efficient scheduling and coordination of all client and caregiver shifts. This includes excellent communication with Care Managers, Clients, Caregivers, and office staff. The Scheduler reports directly to the Care Director.

General Duties and Responsibilities:

  • Build and maintain all Client schedules for their designated areas.
  • Assures that all shifts are covered at the end of each day and through the weekends.
  • Communicate with On Call Managers when leaving for the day and each morning. Be on time for morning turnover of phones.
  • Confirm shifts in your area daily.
  • Follow up on alerts in your area immediately.
  • Answer phones as needed.
  • Exhibit Show Stopping Customer Experience!
  • Approve time off requests for the caregivers within 48 hours following protocol.
  • Encourage Caregivers in your area weekly with a call, text, email or note.
  • Initiate and build strong encouraging relationships with the clients and caregivers.
  • Maintain availability schedules for all Caregivers.
  • Communicate weekly to the COO, Care Director and HR the needs for Caregivers in their area.
  • Update Billing and Care Giver Payrates.
  • Communicate with Caregivers through email, text and phone to keep Caregivers aware of schedule changes.
  • Update Care Managers with Meet and Greets within 24 hours and after orientation.
  • Update PTO for caregivers in your area and follow protocol.
  • Email new client information to Caregivers when they start a new client and inform Care Manager
  • Initiate Excellent communication with the Care Managers and by calling them each morning for briefing of priorities for the day.
  • Maintain Excellent, kind, respectful communication with all staff members.
  • Send mass emails – snowy day, etc. as needed.
  • Miscellaneous clerical projects as directed.
  • Stagger lunches so as to cover scheduling calls during our business hours.
  • Attend Bi-monthly Scheduler meeting with the Care Director.
  • Make quarterly goals and work towards meeting them.

Qualifications:

  • Must have proven verbal and written communication skills, ability to work well under pressure and willingness to be flexible and adaptable as needed.
  • Must be mature, energetic, enthusiastic and motivated person that wants to be a team player.
  • Must enjoy working in a fast-paced environment, talking on the phone with field employees and clients on a daily basis, be gifted at working with various personality types and be able to multi-task and produce positive results.
  • Must be able to follow verbal and written instructions.
  • Must have good phone skills and excel at Customer Service.
  • Must be organized.
  • Must be able to multi-task.
  • Must be self-directed and be able to work with minimal supervision.
  • Must be proficient at Microsoft Windows, Outlook, Word, and Excel.
  • Must have a positive attitude and exhibit patience.
