Position Summary Information

Summary of Position
The Faculty Affairs Specialist is primarily responsible for the successful implementation and compliance of the collective bargaining agreement by union members and the university. The Faculty Affairs Specialist will serve as the primary liaison between academic affairs, human resources, and departments as it pertains to the collective bargaining agreement and immigration work. This position also handles some general faculty data management and assists with full-time faculty hiring.

Education Requirements
A degree in a related field and a minimum of five years’ experience in a university or HR setting. Advanced training in labor and/or faculty relations will be considered a positive in preparing for success in this position.

Excellent critical and innovative thinking and technical acumen to address moderately complex issues. The Faculty Affairs Specialist will be expected to demonstrate knowledge of organizational goals, priorities and values and the legal and human implications of decisions, including experience that provides thorough knowledge of organization policies, union contracts, and procedures and practices that govern academic HR administration. To be successful in this position, knowledge of trends in academia, especially in areas of academic planning, human resource management and administration is critical.

This position reports directly to the Academic Affairs Operations and Resource Manager in the Provost’s Office but works collaboratively with the Human Resources Office and Legal Counsel. The Faculty Administrative Specialist will also work with the staff of academic deans, human resources, provost office, etc.

This position must have a good understanding of the goals and mission of the division and a thorough understanding of programs and units within the division.

This position requires strict confidentiality regarding recruitment, personnel and related matters with sensitivity to critical, private and proprietary information that will be implicated while exercising the duties and responsibilities of this position.

General Purpose of Position
The Faculty Affairs Specialist is primarily responsible for the successful implementation and compliance of the collective bargaining agreement by union members and the university. The Faculty Affairs Specialist will serve as the primary liaison between academic affairs, human resources, and departments as it pertains to the collective bargaining agreement and immigration work. This position also handles some general faculty data management and assists with full-time faculty hiring.

Essential Duties and Responsibilities
  • Monitor and administer the university’s responsibilities and obligations under the Collective Bargaining Agreement
  • Coordinate the day-to-day administration of bargaining agreement activities to ensure employee and university compliance in order to effectively advise the provost about potential issues
  • Serve as the initial point of contact for academic affairs as it pertains to the Collective Bargaining Agreement
  • Prepare various reports, collect data and develop summaries, as well as reports to monitor the status of the Collective Bargaining Agreement
  • Develop and conduct training for departments relative to union and visas
  • Working closely with the provost office, participate in providing guidance and recommendations as it pertains to issues or questions relative to the CBA and immigration
  • Maintain strong working relationships between members of the bargaining unit and university management
  • General faculty data management (hiring processes, reporting such as but not limited to, Academic Dashboard, 2nd year faculty, GPA, office hours, phased retirement agreements, assisting with promotion and tenure process, faculty letters of agreement and file management)
