The School of Sustainable Engineering and the Built Environment (SSEBE) is searching for an Executive Administrative Support Specialist a position with considerable responsibility in administering services and support to the Director, faculty, and staff of the school.

To be successful in this role, you must be skilled in handling confidential and sensitive information, and have a deep knowledge and understanding of academic and university policies, practices, and procedures.

You will coordinate multiple high-level tasks simultaneously and autonomously, which include business affair operations, personnel matters (Faculty and AP personnel actions, faculty recruitment) and proactively manage a wide range of projects and initiatives with support from other team members.

Essential Duties

Management of:
  • Faculty academic personnel actions including faculty promotion and tenure, sabbatical reviews, evaluation of probationary faculty and academic professionals, review of multi-year appointments, evaluation of conditional contracts, and requests for emeritus, adjunct, and affiliate faculty status.
  • Faculty annual review and evaluation process
  • Faculty recruitment process.
  • Interfolio products and unit implementation
  • School Director’s activities, schedule, calendar, and travel
  • Compilation of customized date summaries regarding faculty performance and duties
  • Updates for faculty-related content on the school website
  • Meetings and related logistics, recording minutes, and handling communications with partners
Coordination of:
  • Special events for the unit.
  • Meetings and events of the industry advisory boards

Minimum Qualifications

Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience managing faculty personnel actions
  • Experience managing the faculty recruitment process
  • Experience working in higher education and knowledge of University policies and procedures with emphasis on academic personnel
  • Experience with using Interfolio products and implementation
  • Experience providing operational support/managing an office in a higher education environment
  • Experience managing logistical responsibilities, such as scheduling meetings and event planning
  • Evidence of effective communication skills
  • Supervisory experience

Working Environment

Activities are primarily performed on ASU Tempe campus in a regular, climate-controlled office setting subject to extended period of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer, bending, stooping, reaching, and lifting up to 20 pounds. Ability to clearly communicate to perform essential duties. Ability to work both independently and within a complex structured team.

Flexible Work Options: Once established in your role, alternative work options may include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two work weeks and staggered start and stop times. Additionally, the Fulton Schools of Engineering may allow employees to work remotely one to two days per week. All flexible work options require appropriate approvals
