Position Summary:
Under the supervision of the Adult Transitions Program Director and the Manager of Student Recruitment and Outreach, the Coordinator of Community Outreach and Recruitment fills a critical role in the coordination of all aspects of an engaging and professional campus visitation program along with a leading role in community outreach representing both Adult Transitions and Student Recruitment and Outreach. In addition, the coordinator will promote various College programs, services and new initiatives to actively recruit prospective students. The candidate must have a proven track record in event planning. The Coordinator of Community Outreach and Recruitment should possess strong organizational and communication skills and enjoy working as part of a dynamic interdisciplinary team.

The position is funded with mostly outside funding and shall not be continued beyond the life of such funding. No continuing employment rights are inferred.

Essential Job Duties and Responsibilities:
  • Coordinate visits with Adult Education partners to distribute WCC program information.
  • Manage recruitment activities including tabling at community events such as Ypsilanti Farmers Market, School Open Houses, Back to School Bash, WCC Welcome Day, Parkridge Festival, JDA Fair. Etc.
  • Create and distribute promotional materials for targeted area, community events, and outreach.
  • Manage and help grow social media for both ESL & GED Pathways programs.
  • Build relationships with local non-profit agencies, community-based resources, and adult education partnership.
  • Attend weekly staff meeting to learn more about the function and purpose of Adult Education programming.
  • Attend weekly and/or monthly partnership meetings (WACY, Parkridge, Barrier Busters, WCSO, WISD regional meetings).
  • Collaborate and strengthen relationship with Marketing Dept to create a yearly AT Campaign and other projects.
  • Write and share student success stories in various venues.
  • Serve as the primary contact for visit inquiries, responding to questions and requests.
  • Assume responsibility and facilitation for all weekly campus tours, group tours and other visit programs; tailoring to individual/group needs.
  • Coordinate campus visits for prospective students and their families—ensure these visits are personalized, well-planned and executed.
  • Coordinate campus visits for both small and large groups of local primary and secondary schools and community organizations.
  • Work closely with Washtenaw Community College (WCC) stakeholders, including but not limited to faculty, Student Services departments and facilities.
  • Maintain event registration information in a timely and accurate fashion; provide frequent updates.
  • Follow-up with prospective students from stages of inquiry through enrollment. Utilize Target-X.
  • Research partnerships and programs to connect prospective students to WCC. Educate prospective students on topics such as academic programs, campus resources, financial aid, costs, enrollment process, etc.
  • Provide exceptional customer service and build relationships with prospective students, parents and community partners.
  • Train Student Ambassadors and staff on the campus tour process and documentation.
  • Monitor, track and update monthly campus tour and high school visit report.
  • Other duties as assigned.

Related Duties:
  • Assist with Yearly Graduation Ceremony. Set up information and engagement activities at the event.
  • Assist with other various campus events.
  • Manage inventory levels of marketing and promotional materials and coordinate ordering supplies as needed.

Hours/Schedule:
Work is on and off-campus with some evening shifts, day shifts, and some Saturdays.

Work Environment:
On and off campus, in-person, and virtual. Environment is fast-paced and continuously changing. Regional light travel may be required for this position.

Minimum Qualifications:
Minimum Required Knowledge, Skills and Abilities:
  • Bachelor’s degree and at least two (2) years of direct recruitment or related recruitment Or experience equivalent combination of education and work experience may be considered.
  • Event planning experience
  • Sincere interest in helping others achieve life goals with enthusiasm for the college experience and an understanding of the transformative role it plays in the lives of students.
  • Excellent written communication and oral presentation skills.
  • Must have demonstrated experience in presentation and public speaking.
  • Strong interpersonal skills with both faculty, student populations and community partners and stakeholders.
  • Must have demonstrated ability to work effectively with diverse populations.
  • Skill in the use of computerized systems and databases, with familiarity with Customer Relations Management systems and its functions.
  • Ability to gather data, compile information and prepare reports.
  • Meticulous attention to detail, and superior organizational, time management and problem resolution skills.
  • Ability to interact effectively as either a leader or as a member of a team and work collaboratively with other departments.
  • Must have demonstrated ability to lead a team, work collaboratively with other areas and successfully lead projects through completion.
  • Must have reliable transportation. Regional light travel may be required for this position.
